Finance and Operations Specialist

Who we are:

The American Astronomical Society (AAS), established in 1899, is a major international organization of professional astronomers, astronomy educators, and amateur astronomers. Its membership of approximately 8,000 also includes physicists, geologists, engineers, and others whose interests lie within the broad spectrum of subjects now comprising astronomical sciences.?

Qualifications:

  • BA or BS degree or proven equivalent work experience.
  • Excellent verbal, written and interpersonal skills.
  • Exceptional time management and organizational skills.
  • Expert in Microsoft Suite as well as Teams and Google Apps required.
  • Ability to execute responsibilities with minimum supervision required; and
  • Knowledge of Solomon accounting software and iMIS preferred.

 

Responsibilities:

General Ledger

  • Enter journal entries prepared by the finance staff.
  • Maintenance of Accounts Payble, journal entires and grant records.
  • Maintain the society-wide contract files.
  • Assist with the the annual audit preparation including coping and scanning of documents.
  • Commplete the weekly bank deposits.

Administrative Functions (include, but are not limited to):

  • Ordering office supplies and maintaining the inventory.
  • Preparing and coordinating AAS shipments and mailing for the office.
  • Organizing and maintaining supply room and common workspaces.
  • Managing the incoming mail and packages delivered to the office.
  • Manage the off-site document storage in accordance with the AAS Records Retention Policy.
  • Serve as back up for processing Job Register activity in absence of the Financial and Operations Specialist.
