Administrative Assistant/Dispatch Coordinator

Job Description
We are currently seeking a proactive and organized individual to fill the role of Administrative Assistant & Dispatch Coordinator. This position plays a crucial role in ensuring the smooth operation of our business by providing administrative support and coordinating dispatch activities.
**Responsibilities:** *Administrative Assistant:*
- Manage and maintain office supplies inventory
- Organize and schedule appointments
- Provide general support to visitors
- Act as the point of contact for internal and external clients
- Assist in the preparation of regularly scheduled reports
- Write and distribute email, correspondence memos, letters, faxes, and forms
- Assist in the preparation of regularly scheduled reports
- Develop and maintain a filing system *Dispatch Coordinator:*
- Receive and process orders from customers
- Coordinate with drivers to ensure timely delivery of orders
- Monitor driver schedules and communicate any changes or updates
- Maintain accurate records of dispatch activities, including orders, deliveries, and driver assignments
- Respond promptly to customer inquiries and resolve any issues or complaints
- Collaborate with other departments to ensure efficient operation of the dispatch process
- Ensure compliance with all company policies and procedures related to dispatch operations
**Requirements:** *Administrative Assistant:*
- Proven experience as an administrative assistant or office admin assistant
- Proficiency in MS Office (MS Excel and MS Outlook, in particular)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- High School diploma or equivalent *Dispatch Coordinator:*
- Proven experience as a dispatcher or similar position
- Excellent communication and interpersonal skills
- Strong organizational and multitasking abilities
- Ability to work well under pressure and make quick decisions
- High school diploma or equivalent
