Sales Coordinator

As a Sales Coordinator at you will be instrumental in supporting our sales functions, managing our CRM system, and ensuring effective communication with clients and internal teams. This role involves handling client inquiries, managing and updating databases, reaching out to new and cold leads, and providing crucial support to the sales team. You will also coordinate with various stakeholders to ensure smooth project execution and contribute to the overall success of our sales efforts.
Key Responsibilities:
- Serve as the primary point of contact for initial client inquiries, maintaining a high level of professionalism and a strong customer-first approach.
- Actively engage clients to address their questions and concerns, ensuring a positive and responsive experience.
- Handle client outreach with a focus on delivering accurate information and setting clear expectations to facilitate smooth interactions.
- Maintain and update the company's databases to identify, qualify, and prioritize leads.
- Initiate contact with potential clients, including cold leads, to explore new business opportunities by leveraging strategic communication skills and building a pipeline of prospective clients.
- Manage the CRM system, ensuring accurate tracking of leads and effective nurturing through the sales pipeline.
- Support the marketing team with onsite content creation, including capturing Reels, photos, and conducting video interviews.
- Coordinate and manage follow-up meetings and communications to ensure timely and effective client management.
- Assist the VP of Business Development with proposal preparation, follow-ups, and CRM management.
- Represent the company at client meetings and industry events, promoting our services and fostering positive relationships.
- Collaborate with internal departments to ensure seamless operations and compliance with deadlines.
- Proactively identify potential scheduling conflicts and offer solutions to maintain project timelines.
- Provide the sales team with accurate timeline information to support the creation of client proposals and presentations.
- Organize regular check-ins with internal and external stakeholders to maintain open communication and transparency.
- Bachelor's Degree in Business Administration, Marketing, Sales or a related field; OR commensurate experience.
- 2-3 years of experience in a sales support or administrative role, preferably in the construction or real estate industry.
- Experience with CRM software (e.g., Salesforce, Hubspot) and a strong understanding of CRM management and lead tracking
- Excellent verbal and written communication skills, with the ability to interact professionally with clients, internal teams, and external stakeholders.
- Strong organizational and multi-tasking abilities, with attention to detail and the capability to manage multiple tasks and deadlines effectively.
- Proven ability to provide exceptional customer service, handling inquiries and issues with a customer-first approach.
- Proficiency with Microsoft Office Suite and Google Suite.
- Strong problem-solving skills with a proactive and solution-oriented mindset.
- Ability to work collaboratively in a team environment.

- Specific vision abilities required by this job include the ability to read, analyze, and interpret information on computer screens and printed documents.
- Regular and predictable attendance is required. Workdays and hours coincide with job site and/or office hours.
- This job operates mostly in the office, with occasional visits to construction sites reviewing progress and meeting with project stakeholders.
- This role routinely uses standard office equipment such as laptop computers and various digital devices.
