Freight Forwarding Billing Specialist
We are seeking a detail-oriented Freight Forwarding Billing Specialist to join our dynamic team. In this role, you will manage critical billing and cost-tracking functions to support our freight forwarding operations. This position plays a key role in ensuring accurate and timely financial processes, contributing to the seamless execution of logistics services for our clients.
Key Responsibilities
- Vendor Invoice Management: Receive, review, and verify vendor invoices for accuracy and compliance with agreements.
- Cost Uploads: Accurately upload costs and charges into the company database, ensuring proper allocation to shipments or accounts.
- Customer Billing: Generate and issue invoices to customers in a timely and accurate manner, ensuring compliance with agreed-upon rates and services.
- Data Reconciliation: Reconcile vendor costs with customer charges to ensure all costs are accounted for and billed appropriately.
- Collaboration: Work closely with internal teams, including operations and customer service, to resolve discrepancies and maintain alignment.
- Record Keeping: Maintain organized and detailed records of all invoices, billing transactions, and communications for audit purposes.
- Reporting: Provide regular updates and reports on billing status, discrepancies, and outstanding issues to management.
- Process Improvement: Identify opportunities to streamline and improve billing processes for greater efficiency and accuracy.
Qualifications
- Previous experience in billing, accounting, or freight forwarding operations (1-2 years preferred).
- Strong proficiency in database management and accounting software; experience with freight forwarding systems is a plus.
- Exceptional attention to detail and organizational skills.
- Strong communication and problem-solving abilities.
- Ability to work independently while collaborating effectively with cross-functional teams.
- Knowledge of freight forwarding operations, costs, and vendor billing processes is highly desirable.
