Position Summary: This position is responsible for providing administrative support to the areas of Office Administration, Land Administration, Sales Administration, Production Administration, and Purchasing Administration. What You'll Do: Office Administration Administrative support of Division President as needed Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies Ensures operation of equipment by completing preventive maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques Local HR Support (employment law posters, new hire paperwork, etc.) Serve as liaison between Smith Douglas and Landlord Maintains customer confidence and protects operations by keeping information confidential Provides historical reference by developing and utilizing filing and retrieval systems, recording meeting discussions Contributes to team effort by accomplishing related results as needed Maintain receipts and code monthly reconciliation of VISA charges Land Administration Duties: Organize land contracts, create and maintain land files (feasibility through closing) Put together analysis sheets for each land/lot deal Maintain critical date report and ensure all contract deadlines are met From land purchase through community completion, ensure all required paperwork is completed and passed on to the necessary parties Maintain Land Cash Forecast report Prepare wire transfer requests as needed Coordinating and assisting with feasibility and due diligence of new land deals Coordinating and assisting with cost estimates, budgets, bid processes, contracts and proposals Coordinating and assisting with community and HOA management companies Monitors HOA documents (CCR's, Rules and Regulations, Design Guidelines, etc.) Will assist in market research, graphs, mapping and other acquisition functions Will assist in the preparation of land acquisition underwriting packages Sales Administration Duties: Assist with Sales and Marketing administration Project set up and current home selections Assist with sales contract administration Assist with closing administration Manage documentation for all House files Create and maintain House Files for Pre-sales and SPEC homes Production Administrative Duties: Will assist with production related set up and approvals Enter VPO's into SMART as directed Build relationships with the Builders and Trade Partners Will maintain the Divisions slot schedule Calculate VPO percentages for each closing, based against the sales price Calculate the delays/on-time performance of each closing Purchasing Administrative Duties: Coordinate purchasing tasks and trade set ups Manage samples for model home selections rooms from procurement to distribution Organize and maintain trade files Research P.O. problems as needed and communicate to Trade Relations Manager and Estimator Daily monitoring of trade relations insurance expiration dates, ensure receipt of updated insurance certificates as needed Minimum Job Requirements: Education: High School diploma Experience: Minimum of 2 years of office, land, sales, construction, and/or purchasing related administrative experience. Technical/Professional Skills: Office equipment skills. Spanish language skills helpful.
