About the Role

The post-closing loan specialist is responsible for handling post- closing mortgage loan document verification, validating system data entry as compared to mortgage loan documents, and conducting follow-up document tracking with other departments and settlement agents.Other duties as assigned.

Responsibilities
  • Review and validates all documentation on closed loans is compliant with federal, state, program and/or industry regulations and guidelines/overlays for submitting file to sub servicer and/or investor.
  • Confirms that all documentation and specific process flow has been completed for each loan.
  • Complete appropriate sub servicer and/or investor appropriate checklist for each loan
  • Complete loan set-up for servicer, input and submit to servicer
  • Prepare closed loan package for delivery to investors
  • Ensure prompt delivery of all closing documentation and/or conditions to Investor in order to meet funding and delivery dates
  • Complete check and/or wire requests for initial escrows, principal reductions, and/or homestead taxes collected at closing, for new loan set-up to sub servicer
  • Complete the insuring and/or guaranty document request for any closed government agency loans
  • Coordinate the release of documents to the custodian for Fannie Mae, Freddie Mac, FHLB, and investors on closed loans
  • Update relative systems with servicing transfer and/or investor purchasing information
  • Handle customer service issues accurately and efficiently
  • Provide excellent internal and external customer service
Secondary Functions
  • Receive original closing packages from Closing Department on closed files from Settlement Agents
  • Prep/Imaging/Quality Control: Prepares and images the documents from closing package into internal system by department procedures.
  • Serves as the primary point of contact for maintaining and accounting for all mortgage files/documents requested from any internal employees, auditors, or investors.
  • Accountable for ensuring original documents leaving file room are properly tracked and
  • follow up of return per procedures.
  • Maintain paid/closed loan file requests and ensure that aged filed are sent to off-site storage for retention, ensuring any files sent to off-site storage are imaged prior to shipment and logged.
  • Ensures a constant and continuous flow is maintained in the file room when re-organization of files/documents movement or shifting is needed for utilizing space wisely and for future growth. Documents that must remain onsite need to be properly filed and maintained.
  • Research any missing files/documents. Ensures original files/documents are returned to file room in a timely manner as per procedures.
  • Maintains a proper filing system and ensures files/documents are filed properly and orderly.
  • Organize and coordinate the pick-up and delivery of files sent and received to/from off-site storage as needed.
  • Proactively communicates information to management when issues arise that may hinder the workflow process. Communicates any obstacles that may arise and works together with the team and management in finding a resolution.
Accountability for Business Results
  • Timely and accurate handling of loan file/document acceptance and request
  • Proper delivery of investor loan purchases
  • Proper delivery of new loan set-up to sub servicer
Skills and Competencies
  • Working knowledge of Microsoft Office Products including Word, Excel, and Access
  • Working knowledge of International Document Services, Calyx Point, Meridian Link
  • Ability to plan, organize, and prioritize tasks
  • Ability to manage and organize a high volume of documents
  • Ability to read and interpret documents, write routine reports, and correspondence
  • Excellent organization, data entry, and mathematical skills with close attention to details
  • Highly motivated team player with ability to provide interactive service to others, building relationships and addressing identified needs
  • Able to effectively and persuasively express self, using language and grammar in a professional manner
Desired Qualifications
  • Associate's degree in relevant field or equivalent experience preferred
  • 3+ years of experience in residential mortgage loan documentation and two years of servicing
