Position Summary: A Cosmetic Scheduler is charged with helping patients navigate the aesthetic process and serves as a liaison—or translator—between the patient and the provider. The coordinator is responsible for building and maintaining relationships with our patients and delivering a consistent customer service experience, schedules appointments, helps to sell products, and maintains a smooth flow of other operations.

Essential Duties and Responsibilities:

• Ownership of signing patients up for loyalty programs (Alle, Alle Flash, etc.)

• Daily outbound and inbound calls to patients to assist in preparation for booked patient’s upcoming appointments and will also make additional outbound dials as needed for events, promotions, appointment requests etc.

• Routinely contacts potential patients as appropriate with the intent of generating additional encounters and encourages patients' consideration of future services.

• Consults and coordinates procedure scheduling, pre-procedure and post-procedure care, patient instructions, and office visits.

• Follows up with patient following procedure (includes follow up phone calls or thank you note)

• Responsible for skincare education and sales for cosmetic patients.

• Responsible for coordinating, supporting and driving sales for any aesthetic event, including but not limited to daytime events, skincare events, virtual sales, evening open houses

• Consistently achieves sales and closing ratio goals as established by Clinic Manager.

• Assist MAs and laser technicians with State of Nevada dispensing tech licensing. Manage renewals of licensing.

• Complete and assist in end of the month Inventory count.

• Assist in Patient concerns or complaints.

• Manages bi-weekly/monthly ordering of supplies and products.

• Maintain all refrigerator temperature logs for products, as well as dispensing log of injectables, HQ, and Latisse.

• Complete missed visits report monthly for Cosmetics.

• Coordinate maintenance on lasers

• Other duties as assigned

Education and Experience Requirements:

• Outstanding Customer Service skills and minimum of 1 year experience in a cosmetic environment preferred.

Knowledge, Skills and Abilities Requirements:

• Passion for cosmetics industry

• Detail oriented, professional attitude, reliable

• Reliable, yet flexible and adaptable.

• Excellent written and oral communication skills.
