Job Summary:

The Adult Day Program Director is responsible for the overall direction, day to day management, financial management, personnel and quality of all components of the Adult Day Program (ADP). ADP is funded by the Department of Health and Senior Services and/or the Department of Mental Health/Developmental Disabilities.

Essential Job Functions:

+ Be knowledgeable of PFH Corporate Policies, Procedures and Employee Handbook and Community Services procedures.

+ Maintain confidentiality of Protected Health Information (PHI)as directed in HIPAA training.

+ Ensure health and safety of all program participants.

+ Ensure the initial and on-going training needs of employees and volunteers are met.

+ Ensure personnel files contain the documentation required by DMH/DD and/or DHSS.

+ Ensure contractual compliance with DMH/DD and/or DHSS.

+ Ensure Day Program is in compliance with State Fire Marshals requirements.

+ Ensure documentation of services is in compliance with Medicaid Waiver requirements and EITAS grant.

+ Maintain strong, effective community and organizational relationships with the Department of Mental Health, Department of Health and Senior Services, SB40 Boards and Case Management entities.

+ Ensure that all billing for Day Program is completed accurately and timely for all funding sources.

+ Ensures accurate completion of monthly ISP reports, keeps charts current, writes outcomes and ensures other programmatic documentation is completed on time and correctly.

+ Provides intake assessments for new participants and ensures all needed supports are organized and authorized before a new individual starts Day Program.

+ Serves as a member of the PFH management team.

+ Plan, direct, analyze and evaluate the quality, quantity and effectiveness of the program and cooperate with all regulations to achieve efficient, effective consumer care services.

+ Actively grows customer base by pursuing opportunities for exposure in the wider community and partnership with pertinent organizations.

+ Represents PFH at transitions, fairs, parent groups and other growth opportunities.

+ Continually analyzes and improves procedures and systems to ensure the most efficient and effective use of time and resources.

+ Implement and carry out quality management processes within the Day Program, as required of Directors.

+ Advocate for people we serve.

+ Recognize associates in positive ways.

+ Ensure associates meet the qualifications for employment, screenings have been completed and three positive references obtained. Assure no one is hired who is on any disqualification list or who has questionable references.

+ Conduct all job interviews for Day Program, ensuring all interviewed answer the same questions.

+ Mediate personnel problems of Day Program associates. The Regional Director will be responsible for all employment terminations.

+ Ensure that the approved IPCs match the rates in CIMOR on a monthly basis.

+ Ensure that DMH participants and/or DHSS participants stay within their authorized units.

+ Cultivate positive relationships with all stakeholders including people served, parents and guardians, funding source representatives, other agencies and people in the community.

+ Manage the Day Programs overtime, keeping it to an absolute minimum.

+ Work on employee recruitment efforts in the community (colleges, job fairs, referral incentives, etc).

+ Provide effective leadership and management to staff.

Knowledge, Skills, and Abilities:

+ Ability to operate calmly in a crisis, relate positively to funding sources, other providers, employees, those we serve, families and the community.

+ Advanced verbal and written communication skills and ability to communicate in a straightforward manner with employees.

+ Experience and skill in supervision and team building.

+ Knowledge of the community and the field of social services.

+ Ability and willingness to follow through on routine and emergency situations.

+ Must have a reliable means of communication.

+ Must possess skills to read and understand written materials.

+ Must possess skills to write clearly and legibly.

+ May be required to assist with physical transfers or lifting, depending on the needed supports of the individual.

Experience and Education Qualifications:

+ A bachelors degree from an accredited college or university in the Human Services field and one (1) year experience working with individuals with developmental disabilities is required.

Relevant experience in the field of Developmental Disabilities can be substituted year for year for a degree.

Supervisory Requirements:

+ The Day Program Director will supervise all Day Program staff.

+ Communicate the strategic direction of the organization and encourage participation by all associates.

+ Provide leadership and guidance to all aspects of services provided.

+ Take an active role in monitoring the identification, development, and execution of strategic objectives.

+ Involve, as appropriate, all associates in order to achieve goals.

+ Effectively communicate to associates any changes and news worthy events within the department or company to all associates.

+ Handle difficult personnel situations directly, using appropriate discretion and Human Resource advice to show respect for the individual

+ Champion change and effectively manage the implementation of new ideas.

+ Reinforce team approach throughout functions; support and solicit input from team members at all levels with the company.

Employment Requirements:

+ Successful completion of background check including criminal record, driving record and abuse/neglect.

+ Completion of New Hire Orientation at the beginning of employment.

+ All training requirements including Relias Learning at the beginning of employment and annually thereafter.

+ As specified in the PFHCS Specific Employee Handbook.

+ Three positive references.

+ Must have appropriate, reliable transportation, proof of insurance, and a valid drivers license.
