Part I: Summary Description The Operations Coordinator is responsible for ensuring increasing levels of customer and HDG team member satisfaction while improving the overall efficiency of operations and achieving the financial and non-financial goals set forth by the leadership team. The Operations Coordinator will have different areas of focus depending on the department they work in. General Resolve customer issues with team Execute job site and/or product inspections and resolve any problems quickly, providing feedback to team members as needed Develop and maintain strong interpersonal relationships with colleagues and clients. Participate in hiring and training new team members in accordance with HDG purpose, values, and vision Motivate, coach, and mentor team members, help create and hold accountable to achieving goals, monitor morale Promote high standards for customer service Enforce company policies and procedures Supply staff uniforms Develop and maintain production goals and labor projections based on company budgets Take a proactive role in helping formulate future visions and goals for the organization Active membership on the leadership team Drive the company to achieve and surpass sales, profitability, cash flow, and business goals and objectives Assist managing director with additional projects and add insight to any potential decisions being made that may affect the company and its employees Create and maintain SOP documents Work with AR resolving payment issues Follow up with AR on billing Operations Ensure that the day to day operations of the landscape services department are effectively and efficiently coordinated within the appropriate framework Ensure the day to day floral deliveries are effectively and efficiently coordinated within the appropriate framework Plan and schedule work crews for interior and exterior landscape installations, participating in those installations as necessary Plan and schedule materials for landscape services and display installations Plan and coordinate special services including pesticide applications and pruning, participating in those installations as necessary Plan efficient technician routes, keeping them updated as changes occur Plan and execute purchasing and scheduling of repetitive interior landscape material rotations Pull, prep, clean, and stage materials and supplies for the next day’s work new installations Tag plant material for replacements Maintenance of warehouse plants, schedule maintenance of exterior yard plants, and entrance displays Participate in vendor negotiations to ensure product relevance and cost efficiency Cover maintenance technician routes when necessary Assist in Floral department when needed Organize and plan space for reduction and/or new facilities Help in other departments as needed Facility Open and close building each day Receive, check in, and organize all incoming shipments Organize and maintain upkeep of warehouse including storage of holiday product, display pieces, plants, containers, supplies, and tools Supervise warehouse safety and cleanliness, participating as necessary Schedule facility needs including light bulbs, repairs, services, and coordinating repairs that require landlord’s work or approval Supervise organization of garage area and loading dock area, coordinating with neighbor as needed Supervise vehicle maintenance including safety; coordinating preventative and repair services; keeping clean and stocked Oversee trash pick-ups and coordinate extra services as needed Perform general renovations to facility as needed including painting and carpentry projects Part III: Qualifications Must be motivated and knowledgeable of landscape industry plants and materials and have an appropriate business demeanor to meet clients and assess their needs Excellent interpersonal and negotiating skills Strong organizational skills and attention to detail Excellent communication skills, both written and verbal Must possess strong organizational skills, prepare schedules, estimates, and purchasing plans Ability to work well under pressure Ability to work autonomously Ability to make sound business and financial decisions Knowledge of Microsoft Office programs May need to be available to work some nights and weekends Part IV: Education and Experience Higher education in business or operations field preferred Landscape operations experience, minimum 5 years preferred Leadership experience of a B2B company, preferred Part V: Certificates, Licenses, Registrations Must have valid Driver’s License and be in possession of it at all times Personal vehicle must be fully insured Part VI: Physical Demands and Work Environment The physical demands described here are representative of those that must be met to successfully perform the essential functions of the job.
