Job Purpose:
To provide administrative support to ensure efficient operations of the organization.
Job Summary:
Provides a wide variety of administrative and staff support services to an organizational unit.
May prepare presentations, budgeting, project scheduling, and statistical reports as required. Administers programs, projects, and/or processes specific to the operating team served. May serve as an administration liaison to others inside and outside the company regarding administrative issues related to purchasing, personnel, facilities, and operations.
Essential Functions:
Management reserves the right to add, modify, change, or rescind the work assignments of different positions and to make reasonable accommodations so that qualified employees can perform the essential functions of the job.
Provides comprehensive professional and personal administrative support functions for Manager or HR to include but not limited to: performs tasks/jobs to relieve Manager, HR to focus on other priorities; protects the integrity and confidentiality of manager; acts as liaison for manager with external and internal contacts; streamlines office procedures and processes; fields calls; maintains the highest degree of confidentiality with employee and volunteer matters; provides information and materials for meetings; ensures specific communication reaches correct employee audiences; distributes requested information to the correct department or team member.
Assists Manager, HR and HRBPs with special projects. Provides specific project support to the functional manager and team as requested. The project involvement varies in scope and nature based on need. Assists higher-level HR employees in the completion of HR-related tasks and functions as requested. Researches HR, administrative, legal and/or financial data for use in the HR decision-making process. Keeps employees and HR Group members informed on other areas of operation. Sends out project specific communications as needed and requested. Serves as backup to other HR functions.
Assists HR Business Partners with tracking talent assessments for local councils. Completes documentation in preparation as needed. Shares assessments with Talent team to help facilitate internal position fills/local council employee development, training and advancement.
Maintains department budgets. Produces and provides reports and makes updates as needed. Monitors the monthly budget expenses by working with managers to correctly track expenses. Tracks and troubleshoots monthly expense questions and discrepancies.
Manages internal processes for an assigned area and recommends changes to improve efficiencies.
Performs daily administrative duties for the HR team leaders and team.
Performs other job-related duties as assigned.
Skills:
Strong communications; quality orientation; and managing work. Basic knowledge of human resources practices, recruiting, employee relations and employment law is essential. Intermediate knowledge of current Microsoft Office products.

Strong interpersonal skills, with ability to build and maintain rapport with business clients. Exhibits documentation skills and organizational expertise.

Ability to work in stressful, fast-paced employee relations situations, with the utmost level of discretion and confidentiality, while meeting project deadlines.
Ability to develop recommendations and solutions with sensitivity to the issue, impact to organizational precedence, and desires of those affected by the recommendations. Ability to follow through on assignments, accept work assignments from multiple managers and work areas, and handle multiple and parallel projects.
Ability to listen attentively to people's ideas and concerns, paraphrase to ensure understanding, and defer judgment on what someone is saying and, instead, focus on finding out more (such as individual circumstances that are driving someone's behavior), and tailor responses accordingly.
