Position Summary: Responsible for enhancing the Executives' effectiveness by providing superior administrative support, information management, organization of resources, and representing the Executives to others. As a department liaison, the Executive Assistant must exhibit a positive attitude and professional demeanor.

Essential Duties and Responsibilities:

* Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries
* Maintains Executives' appointment schedule by planning and scheduling meetings, conferences and teleconferences
* Arrange all travel logistics as well as coordination of travel associated activities and demands
* Conserves Executives' time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications
* Maintains customer confidence and protects operations by keeping information confidential
* Produces information by transcribing, formatting, inputting, editing, retrieving, copying and transmitting text, data and graphics
* Prepare, review and maintain miscellaneous reports documents and correspondence
* Contributes to team effort by accomplishing related results as needed
* Responsible for heavy calendar management, requiring interaction with both internal and external executive management, as well as consultants in order to coordinate a variety of complex executive meetings and events
* Prioritize and manage multiple projects simultaneously, and follow through with pertinent matters in a timely and efficient manner
* Assisting with the preparation of presentations
* Proactive team player who can also finish deadlines independently, anticipate needs and interact with senior executives
* Performs other related duties as required.

Educational and Other Requirements:

* High School Diploma or equivalent required.
* Minimum of 1-3 years of supporting at an executive level required
* Typing speed, 60-80 wpm
* High level of proficiency in the use of Microsoft Office programs
* High attention to detail with an ability to work on multiple projects simultaneously
* Ability to take initiative, multi-task and work well under pressure
* Excellent verbal and written communication skills, poised and articulate
* Upbeat, positive, outgoing, personable and able to relate with diverse management and staff populations
* Well organized
* Sensitive to confidential information
* Must work independently and as a member of team

Mental and Physical Requirements:

* Able to read, speak and write English.
* Ability to use sophisticated computer software programs to achieve job functions.
* Sitting - at desk or computer station, standing, walking, speaking, hearing - frequent
* Bending/Stooping, twisting, lifting - occasional
* Gripping, reaching, writing, fingering (data entry), handling (paper, files, etc) - frequent
* Able to work under stressful conditions at times.
* Fine Motor Skills - typing, 10-key, ability to write for extended periods of time
* Communication - phone communication, communication with personnel and vendors
* Seeing - able to see the computer screen
* Climbing - able to go up and down stairs
* Position will require a minimum of 40 hours per week unless otherwise directed by supervisor.
