Administrative Assistant

You will primarily be focused on the administration of the Center of Excellence Program and developing an understanding of the current administrative functions. We plan to move on quickly from here to advance to the more general role of assisting the CEO across all areas of NCE.
Quality
Ensure the quality of administration, communication and organization within all programs is at the highest possible level.
Communication
Ensure all emails are answered within 48 hours. Assist Owner with all group emails, press releases and conference call invitations. Assist in the communication requirements of all NCE programming. Work closely with CEO and use software for specific program communications, including marketing, invitations, cancelations, and individual player evaluations. Ensure all communications are logged appropriately.
Administration
Assist CEO & Founder with all administrative functions.
Event Scheduling
Assist in the planning, organizing and delivery of all programs. Including, training programs, tours, tournaments, festivals and both domestic and residential camps. Schedule facilities for the above and ensure that company calendars, websites and contracts all align. Monitor any program cancellations, update website, update calendar and communicate changes to the parents.
Additional Funcitons:
- Provides administrative support to ensure efficient office operations.
- Manages calendars for senior staff, including making travel arrangements.
- Inputs and updates information in databases and spreadsheets.
- Prepares meeting agendas and takes meeting minutes.
- Coordinates logistics for meetings, including room setup.
- Uses word processing and presentation software to create and edit documents.
- Works closely with other administrative staff and supports other colleagues as needed.
- Works with sensitive information with discretion to maintain confidentiality and security and ensure compliance with privacy policies and regulations.
- Ensures that deadlines are met and adapts to changing priorities.
- Presents a positive and professional image for the organization.
