Executive Assistant's responsibilities include managing calendars, making travel arrangements and preparing expense reports. To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance.
Job Duties
- Manage information flow in a timely and accurate manner
- Assist in the recruitment process by posting job openings, screening resumes, and coordinating interviews.
- Conduct onboarding and offboarding processes to ensure a smooth transition for employees.
- Handles discipline and termination of employees in accordance with company policy.
- Manage employee records, ensuring accuracy and confidentiality.
- Administer benefits programs and assist employees with inquiries related to benefits.
- Coordinate and organize training sessions for employees on various topics including but not limited to leadership and management training.
- Assist the COO in HR policy development and implementation
- Complete requests for verification of employment
- Manage executives' calendars and set up meetings
- Make travel and accommodation arrangements
- Rack daily expenses and prepare weekly, monthly or quarterly reports
- Oversee the performance of other clerical staff
- Act as an office manager by keeping up with office supply inventory
- Format information for internal and external communication - memos, emails, presentations, reports
- Take minutes during meetings
- Screen and direct phone calls and distribute correspondence
- Organize and maintain the office filing system.
Requirements
- Excellent interpersonal, negotiation, and conflict resolution skills.
- Excellent organizational skills and attention to detail.
- Strong analytical and problem-solving skills.
- Ability to prioritize tasks and delegate them when appropriate.
- Ability to act with integrity, professionalism, and confidentiality.
- Proficient with Google Workspace or related software.
- Proficiency with or the ability to quickly learn the organization's software systems such as HRIS, talent management systems, project management systems, and CRM.
