AWARE's Certified Community Behavioral Health Clinic (CCBHC) Office Manager, under the overall direction of the CCBHC Site Director, is responsible for the overall office management, including but not limited to provider appointment scheduling, coordination and scheduling of all support staff, supply ordering, equipment maintenance coordination, ability to answer basic Behavioral Health inquiries, mail, referrals, and coordination activities.

The CCBHC Site Office Manager is full-time and includes a comprehensive and competitive benefits package including insurance, 401(k), tuition advancement, paid vacation, personal and sick leave, and annual raises.

ESSENTIAL JOB FUNCTIONS:

-Provide excellent customer support to assist in the management of AWARE's CCBHC Clinic and all related services, programs, resources, and care philosophies. This includes answering and directing phone calls, mail, packages, solicitors, vendors, visitors, faxes, and/or other related communications.

-Review and manage information requests to determine and resolve questions, complaints, referrals, and/or problems.

-Provides support to coworkers regarding assigned administrative and operational tasks including how best to reengineer existing processes and workflows.

-Inputting and configuring information into requested reports, presentations, and flow charts.

-Works closely with the assigned team to complete a variety of projects that support AWARE's CCBHC Clinic.

-Provide reports to the Service Director to determine trends of issues and possible training needs, including utilization of software.

-Train and orient staff as assigned.

-Assist with fieldwork as requested.

-Manage appointments, referrals, intakes, and other related matters.

-Responsible for facility cleaning, hygiene, safety and maintenance.

- Ensure regulatory compliance with current healthcare regulations, medical laws and ethics including but not limited to HIPAA, OSHA, labor laws, and other federal, state, and local regulations.

-Troubleshoots minor administrative and operations malfunctions and corrects them as directed.

-Able to react to change productively and handle other essential tasks as assigned.

-Maintains log of all worked performed and processed.

- Other tasks as assigned.

Requirements

ATTENDANCE REQUIREMENTS:

The hours of employment are Monday - Friday, 8:00 am - 5:00pm. The scheduling of staff meetings, training sessions, and/or special events may necessitate variations in schedules. Permanent changes in an employee's work schedule will be provided to the employee in writing with the explanation why the change was made. Scheduling is the responsibility of the employer and will be based on the needs of the organization. The option to tele-commute is available.

MINIMUM QUALIFICATIONS:

Knowledge/Skills/Abilities:

Requires demonstrated experience in customer support, healthcare information management and/or healthcare information technology (HIT). Intermediate experience working with Windows and PC based software products.

Experience working in a deadline driven environment, handling multiple tasks. Good written and verbal communication skills, the ability to translate numbers into plain English while forming professional working relationships with a welcoming and helpful customer service approach.

Education/Experience:

A BA/BS Degree in Human Services, Computer Science, Health Informatics or related field is preferred. Minimum of three (3) years of direct employment experience working within an electronic health record system required. A Valid Montana Driver's License and clean motor vehicle record required.
