The Administrative Assistant's role is to coordinate various office tasks and functions to ensure office operations run smoothly at all times. Tasks include, but are not limited to, front desk management, answering phones, maintaining office supplies, and scanning all important documents. In addition, the Administrative Assistant is expected to be available to assist other departments and staff members when needed.

The right person will also be personable, organized, attentive to detail, and willing to grow with the company.

Essential Job Duties:
  • Answer phones and direct calls to the appropriate person
  • Answer door, greet visitors and ensure visitor logs are completed
  • Conference Room Calendar Management
  • Open and distribute all incoming mail. Post all outgoing mail and maintain postage machine
  • Keep track of and order office supplies
  • Order groceries and keep kitchen stocked
  • Scan and index documents for accounts receivable, accounts payable, and logistics departments using various software
  • Assist other staff members by providing requested documents as well as any other projects or tasks that may come up
  • Maintain and file all ready to pay invoices for the accounts payable department
  • Confirm check signatures, stuff and mail envelopes
  • Create all UPS labels, track packages and email tracking information and delivery confirmations to appropriate parties.
  • Check Freight invoices and maintain freight tracking sheet
