The Accounts Payable and Receivable Clerk is responsible for providing financial, administrative, and clerical support to the finance team and ensuring payable and receivable transactions are recorded and processed promptly and accurately in accordance with internal accounting policies.
JOB PURPOSE:
Supports the day-to-day operational activities of an organization's accounts receivable and accounts payable functions. This includes creating and distributing invoices to customers and verifying, recording, and posting payments received. Reviewing purchase orders, statements, and invoices to verify amounts owed and recording and processing payments for debts owed by the organization. Additionally responsible for maintaining and reconciling accounts payable and receivable ledger accounts.
We are actively seeking an Accounts Payable and Receivable Clerk for the following opening(s):
* Monday - Friday (5/8s): Day Shift. Eligible to be considered for a hybrid role (at least 3 days in the office) after successful onboarding and training period
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
* Develop, maintain, and update various Accounts Payable & Receivable processes, including documentation and communication of processes.
* Validate payable invoices for goods and services for accuracy, assign general ledger account codes, obtain appropriate approvals for payments.
* Ensure timely payment of all invoices.
* Maintain and update vendor files, including 1099 information/filings.
* Maintains and updates customer files, including name or address changes, mergers, or mailing attentions.
* Review receivable invoices according to company practices & submit invoices to customers in a timely manner.
* Conduct 3-way or 2-way match, identify any discrepancies, communicate effectively to and/or procurement staff on any discrepancies, enter invoice information into company accounts payable systems.
* Validate goods were received and proper prices have been invoiced in accordance with the purchase order.
* Obtain the necessary approval for service invoices and authorization for any discrepancies in prices, quantity received and freight charges.
* Assist with AP and AR issue resolution including responding to customer and vendor inquiries regarding payments or billing and researching and resolving discrepancies.
* Create correspondence for standard past-due accounts and collections, identifies delinquent accounts by reviewing files, and contacts delinquent accountholders to request payment.
* Balance and reconcile monthly statements received from vendors and customers.
* Assist with month end/year end accounting close, journal entries, account reconciliations, financial reports, audits, and updates to financial models as assigned or required.
* Maintain reports regarding the status of customer accounts as well as requested sales reports.
* Review files, records, and other documents to obtain information to respond to requests.
* Comply with federal, state, and company policies, procedures, and regulations.
* Crosstrain in Deductions and other areas to support as needed.
* Various other projects or duties as assigned.

COMPENSATION:
Wages: The starting wage for this role depends on your previous experience. Base wage for this role starts at $23.50/hour for candidates with significant, direct experience. More opportunities for wage increases are also associated with company performance bonuses, individual performance reviews, and promotional opportunities.

Requirements

QUALIFICATIONS:
* High School graduate or GED required, with post-secondary courses/degree in accounting preferred.
* Previous professional experience using accounting software ERP (enhanced beyond QuickBooks/Excel) is required.
* Previous professional experience in accounting within the Manufacturing or CPG industry (Consumer Packaged Goods) is highly preferred.
* Experience using software for reporting consumer goods sales tax is preferred.
* Strong communication & organization skills.
* Ability to work independently and as a part of a team.
* Analytical and problem-solving skills
* Willingness to learn and recall detailed training is required.
* Proficient in the basic computer skills; spreadsheets, email & word processing. Google Suite experience preferred.
