Position Summary:The Faculty Commons Support Specialist acts as the first point of contact to visitors in the Part Time Faculty Commons (PTFC). The assistant oversees the daily operations of the PTFC, which services a large volume of diverse visitors, including faculty, staff, students and the public. The position requires a positive, inviting demeanor and an exceptionally high level of customer service. The staff person acts as concierge to a well-organized and professional office environment.Essential Job Duties and Responsibilities: • Act as frontline contact for ALL faculty, staff, students, and the public in the PTFC, including, but not limited to clerical services, preparing documents, taking messages, faxing, emailing, phones and problem-solving office equipment conundrums and submit service requests independently.• Provide current and accurate information concerning faculty and other personnel per their instructions.• Collaborate with Department Chairs and Deans to maintain respective department information, including maintenance of current faculty and email lists, and course schedules. • Monitor and maintain computer kiosks and conference areas within the PTFC, and schedule conference areas as needed. • Provide campus information correctly via Events Management System (EMS) and College websites. • Ensure "Important Campus Info" is maintained correctly.• Design publications, compose PTFC-wide emails and produce newsletters as scheduled.• Monitor and maintain coffee service, kitchenettes and break areas. • Assist with the college wide professional training tracking system KALPA including data entry, creating attendance packets, and attendance validation.• Organize KALPA sign-in sheets and collect data to be entered in a timely manner for effective record keeping for report generation.• Assist faculty with KALPA technical questions/Log-in process and Registration.• Coordinate clear and consistent communication with all PTFC staff. Provide updates quickly. • Provide caring guidance and instruct faculty in using the features of MyWCC on the College website, email, Blackboard (Bb), Canvas and other venues of the PC/Mac kiosks.• Generate class rosters, reports and documents as directed and circulate information as requested. • Organize and assign mailboxes, file drawers, lockers to faculty.• Distribute mail, publications, and other materials as appropriate.• Coordinate efficient process for faculty package pick-up and copy center packages.• Inventory and prepare weekly supply orders, stock and maintain supplies.• Regular attendance on campus is required for this position.• Other duties as assigned.Related Duties:• On a college-wide basis, provide long distance telephone service for those without access via divisional codes.• Effectively organize files, maintain records and logs. Prepare records and logs as scheduled.• Proofread and edit documents correctly.• Assist with planning, organizing, set up / cleanup of new part time faculty orientations.• Ensure documents are in compliance with college policies and procedures.• Assist the Manager of Instructional Operations and Support Services with ongoing campus wide projects.

Minimum Qualifications:

Minimum Required Knowledge, Skills and Abilities:• High school diploma or GED equivalent, and fifteen (15) credit hours in related coursework and two (2) years relevant work experience OR the equivalent combination of education and work experience.• Proven interpersonal skills and the capacity to conduct oneself professionally.• Proven capacity to communicate (written and verbal) in a positive, inviting demeanor while providing exceptional customer service to a highly diverse clientele.• Demonstrated proficiency in word processing, spreadsheet, and database management: Microsoft Office Suite (Word, Excel, Power Point, and Outlook).• Ability to research and compile data accurately.• Proven ability with note taking, math, and filing.• Proven capacity to safeguard confidentiality, work efficiently and independently.• Exhibit the ability to learn and use Oraweb and Learning Management Software effectively.
