The Deputy Chief of Staff for Academic Affairs serves as a principal administrative aide in the Executive Office to manage daily workflows and advance strategic objectives in the area of academic affairs. The position works primarily in support of the Provost and Executive Vice President for Academic Affairs, with day to day management and direction provided by the Chief of Staff to ensure coordination of all Executive Office priorities and decision-making.

The Deputy Chief of Staff advises, collaborates, and works closely with senior UW leadership on behalf of the President and Provost to advance the University's mission and ensure strategic alignment within Academic Affairs functions. As a representative for the Executive Office, this position cultivates a sense of shared purpose within the Office of the Provost and Executive Office, promotes a positive workplace climate, and proactively prepares the Provost and the office for critical issues and priorities. Day to day operations of the Executive Office are dynamic, and a high level of professional discretion is crucial to this position and its interactions with senior UW leadership and members of the wider university community.

The Executive Office of the President & Provost interacts with the diverse units of the university as all as outside constituents and partners from local, national, and international institutions and communities. This highly visible office strives to provide exceptional and professional service to all who request assistance from the University of Washington. The Deputy Chief of Staff correspondingly encompasses this high level of service.

DUTIES AND RESPONSIBILITIES

Leadership and Management

In collaboration with the Provost and senior staff, oversees strategic planning and goal setting for Academic Affairs and ensure strategic alignment with Academic Affairs functions. Monitors and reports progress. Obtains and organizes data and other information needed to support the functions, initiatives and priorities of the Provost and Academic Affairs.

Provides project management support for initiatives spanning units in academic affairs, including the development of detailed plans and timelines. Oversees and participates in leadership meetings and retreats including the preparation of agendas and materials. Facilitates communication and workflow among units. Delegates assignments not requiring the Provost's direct involvement and tracks progress to ensure timely completion.

Serves as the principal representative of the Office of the Provost and functions as a liaison to other Vice Provosts, Vice Presidents, the offices of the Deans and the Faculty Senate. Serves as the Provost's delegate and representative at meetings as directed to share the perspectives and priorities of the Provost. Demonstrate responsiveness and discretion to build trust-based relationships across campus.

Provides oversight of processes related to academic affairs including faculty senate legislative development and review, academic policy development and review, faculty discipline procedures, and nominations for honorary awards.

In coordination with senior staff and administrative staff, manages campus constituent inquiries or concerns within the purview of the Office of the Provost.

Manages the preparation of materials for the Board of Dean and Chancellors and Board of Regents.

MINIMUM REQUIREMENTS

Master's degree with at least 5 years of high-level or executive experience in higher education, non-profit or public sectors.

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

ADDITIONAL REQUIREMENTS

* Demonstrated ability to independently set priorities, plan, organize, coordinate and direct multiple, concurrent projects and complex tasks, coupled with the ability to develop and move strategic agendas forward and drive a high volume of work to completion.
* Awareness of best practices and emerging opportunities and challenges in higher education.
* Excellent interpersonal skills necessary to establish and maintain positive working relationships and ensure collaboration and cooperation among units reporting to and interfacing with the Provost and Executive Office.
* Strong leadership and supervisory skills with an emphasis on accountability, collaboration and creativity.
* Ability to use independent judgement and manage sensitive and/or confidential information with discretion.
* Strong written and verbal communication skills; ability to effectively communicate with diverse constituencies.
* High level of analytical, planning and organizational skills .
* Strong technical aptitude; ability to learn technology quickly.
* Strong commitment to advancing a diverse, equitable, and inclusive campus community.

DESIRED QUALIFICATIONS

Doctoral or professional degree in a relevant field.
