The Department of Industrial and Systems Engineering (ISE) maintains an internationally recognized research program with three core research areas (operations, data analytics, and human factors and ergonomics) applied to health care, transportation, energy, and manufacturing. The Department of Industrial and Systems Engineering has an outstanding opportunity for a Graduate Academic Advisor (Counseling Services Coordinator) for our graduate degree programs.

POSITION PURPOSE

This position provides advising, leadership and administrative support to the graduate education programs in ISE which include: the Masters of Industrial and Systems Engineering (MISE), Master of Science in Industrial Engineering (MSIE), PhD in Industrial Engineering (PhD) and Graduate Certificates. The MISE degree is our current Masters of Engineering degree and serves working professional students.

This position also collaborates with the department chair, department administrator, and faculty program coordinator in developing new initiatives and programs that strengthen and expand ISE relationships with industry and academic partners. This position will have a direct report to the Assistant Director of Academic Services.

The graduate advisor is expected to recruit prospective students with advisor-led events, be the primary advising contact to current and prospective graduate students and oversee all aspects of the administration and development of the Professional Master's Program (PMP) and certificates. With the expansion of professional programs, the position requires the ability to multitask, prioritize job responsibilities, and utilize independent judgment in project planning, management, and implementation. Additionally, this position requires the ability to work collaboratively with faculty, students, staff, members of industry, and international partners. The growth of the Professional Master's Program is a key goal for the department, and as such, this position plays a critical role in providing direction and leadership in recruiting, marketing, advising, and strategic program development. This position may be asked to travel to universities both domestically and abroad to promote the program.

With ISE's academic programs. Students get direct experience working with faculty, conducting research that leads to new discoveries, treatments, and tools. The Graduate Academic Advisor is a key partner in the success of each student and in the department as a whole.

DUTIES AND RESPONSIBILITIES

ADVISING AND COUNSELING (55%)

Advise and counsel ISE graduate students regarding academic goals, curriculum, degree requirements, and professional development opportunities. Respond to all phone, email, and in-person inquiries.

Lead and manage the comprehensive graduate admissions process. Provide guidance and recommendations to the admissions committee.

Develop and conduct new student onboarding sessions and orientation programming to ensure a seamless transition to the program and department.

Counsel students experiencing academic difficulties, administer the department satisfactory academic progress policy, and prepare probationary action when necessary.

Work with the graduate school on the admission and tracking of non-matriculated students working on certificates.

PROGRAM ADMINISTRATION AND DEVELOPMENT (25%)

Manage the daily operations of the PMP and associated certificates. Serve as a liaison to students, faculty, instructors, staff, and UW Continuum College/Professional and Continuing Education (UWC2/PCE).

Develop the annual PMP budget, determine the annual tuition rate, and create revenue projections in collaboration with the department administrator and faculty coordinator.

Review and manage PMP financial and accounting activities supporting the annual budget and associated income.

In collaboration with the faculty coordinator, develop strategies for sustainable growth of the program by identifying key partnerships, recruitment and marketing strategies, industry trends, and curriculum opportunities.

Partner with the faculty coordinator in creating the yearly curriculum utilizing student, faculty, and industry feedback. Oversee course scheduling and development of the quarterly time schedule, coordinating with the faculty coordinator and individual faculty members.

Develop new ISE program course application materials and provide necessary approvals to add, change, and delete course offerings. Represent the program on the Curriculum Committee when PMP course offerings are being considered.

Compile statistics, reports, and analyses of program demand, applicant profiles, student progress, and enrollment trends.

Develop program recommendations and support activities and events to improve the quality of student experience and learning outcomes to maximize academic and career success.

OUTREACH AND RECRUITMENT (20%)

Create a yearly marketing plan for the PMP in partnership with the PCE Marketing Team.

Provide direction on the creation of marketing materials such as web and video content as well as printed promotional materials to ensure effectiveness in relaying the ISE brand and key professional program value propositions.

Support the development of a yearly recruitment plan for the professional programs by evaluating effectiveness of recruiting methods and providing strategic ideas and recommendations for future efforts.

Represent ISE at university recruitment fairs both domestically and internationally, industry visits, and information sessions to recruit prospective students.

Make recommendations on how best to reach prospective student populations. Develop and administer programming and presentations for these events in-person or remotely and establish connections with local organizations and universities.

Works closely with the communications and marketing manager to promote and increase student enrollment to all our programs and certificates.

Coordinate program activities with key organizations, departments, and internal units including attending conferences to promote the program, events, PR, faculty, and/or other staff.

In collaboration with others in the department, create the budget, revenue projections, and marketing efforts for recruiting events.

Identify and select appropriate instructors and teaching assistants to teach the ISE courses in the PMP programs.

Coordinate the events team, public relations team, faculty lead, PMP instructors, and teaching assistants to ensure a smooth program implementation.

Collaborate with payroll and fiscal teams to ensure accurate budget allocations for salaries and program expenses.

MINIMUM REQUIREMENTS

Master's Degree in Educational Leadership, Student Affairs, Business, Public Relations, Communications, or a related field. Equivalent experience can substitute for a degree requirement.

Minimum of two years of relevant experience in Higher Education, Student Advising, Student Affairs.

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

ADDITIONAL REQUIREMENTS

Excellent written, oral and interpersonal communication skills.

Ability to work collaboratively and independently with a high degree of reliability, accuracy, and productivity.

Detailed oriented - ability to manage multiple projects and priorities with varying timelines.

Proficiency using PCs, web page use/authorizing and familiarity with presentations graphics and publication software.

DESIRED QUALIFICATIONS

Experience with professional or fee-based programs.

Familiarity with UW academic policies and procedures related to academics and curriculum for graduate programs.

Thorough working knowledge of UW Student Database, Slate and MyGrad programs.

CONDITIONS OF EMPLOYMENT

Ability to be flexible with office hours and work outside of standard office hours (8:30am - 5:00pm) for special events such as the departmental graduation and evening events associated with the professional programs.

Ability to attend off campus events.

This is a 100% in person position five days a week.
