General Description
JOIN OUR TEAM AS A PROJECT COORDINATOR II
The Project Coordinator II-HRE role involves preparing the official notices, correspondences and everything demolition related. Responsible advanced clerical work, which includes administrative responsibility.
Essential Job Functions
Recording of official documents such as orders, satisfactions & withdrawals. Responds to internal and external customers. Manages Smartsheet, Accela & electronic files as well as physical files. Prepares follow up action forms independently and composes letters for supervisor's signature. Assembles information for supervisor's use. Answers phones, responds to emails and assists in office filing. Refers callers to other employees, officials, or departments as needed. Assists with appeals and setting up hearing dates. Sends notices to contractor for demolition, request power rollbacks, coordinate inspections, responds to property owners, request tax notifications, request historical property information, and monitor permits. Tracks status of demo cases. Coordinates with PSO, Animal Services, and other necessary departments. Performs related work as required.
Knowledge, Skills and Abilities
* Knowledge of business English, spelling, and punctuation.
* Knowledge of reading comprehension and interpretation.
* Knowledge of office practices and procedures.
* Ability to prepares documents for official recording.
* Ability to make decisions in accordance with the departmental rules, regulations, and policies.
* Ability to enforce and work within tight time deadlines.
* Ability to establish and maintain effective working relationships with employees and the public.
* Knowledge of the overall functions and operations of the unit to which assigned.
* Ability to operate a laptop computer.
* Ability to operate a scanner, copier printer, phone.
Minimum Requirements
PHYSICAL SKILLS: Ability to communicate effectively using verbal, written and visual communication.
EDUCATION, TRAINING AND EXPERIENCE: Graduation from an accredited college or university with an Associate degree in Business or a related field and two (2) years' secretarial/clerical and typing experienceORpossession of a high school diploma or an acceptable equivalency diploma and four (4) years' experience. Experience with recording of official documents, mailing, and sending out notices. Experience using Accela, Microsoft Office software, Outlook, Teams, Web-Ex Adobe, Smartsheet and Internet explorer applications required.
IN-HOUSE CANDIDATES: This position qualifies for DAP.
LICENSES, CERTIFICATIONS OR REGISTRATIONS: Must possess a valid Florida driver's license.
