Job Summary:

The primary function of the Customer Service Representative /Admin Assistant is to answer incoming calls and direct appropriately, create quotations, review accounts receivable, and provide administrative support for company personnel, by performing the following duties:

Key Duties & Responsibilities
  • Create sales quotations (machinery, materials, and parts) in Microsoft Word for Sales Partners to provide to customers.
  • Review outstanding Accounts Receivable and follow up with accounts via email and phone.
  • Process daily payables for billing and electronically file with AP department.
  • Review new customer paperwork, follow up with customers as needed, and submit to appropriate departments for processing.
  • Set up new suppliers, submitting all necessary documents for review to manager.
  • Answer all incoming calls in a professional manner by directing calls to the appropriate person. Receive and relay phone messages.
  • Act as back up for order processing.
  • Assist management with preparing conference rooms prior to meetings.
  • Monitor and order office supplies as needed.
  • Complete special projects as assigned by Management.
  • Assist Warehouse Associates in managing administrative responsibilities.
  • Other duties as assigned.

Education and/or Experience
  • High school diploma or equivalent required.
  • Proficient in Microsoft Office 365 (specifically Word and Excel).
  • Excellent organizational, multi-tasking, and problem-solving skills.
  • Excellent customer service skills.
  • Professional attitude and appearance required.
  • Excellent written and verbal communication skills required.

Physical Demands & Special Circumstances

Light work, requiring exerting up to 20 pounds of force occasionally and /or up to 10 pounds of force frequently. This is largely a sedentary role; however, some filing is required which requires the ability to lift files, open filing cabinets, lift file boxes, bend and/or stand on a stool as necessary.
