Essential Functions

This position is responsible for the management, safety, and compliance oversight of Youth Programming Events at the University. Youth Programming at The University of Texas Permian Basin includes all University offerings for minors (a youth participant under the age of 18 and not a registered student of UTPB), such as, camps, internships, and the like. This position will also serve as the liaison to school districts and lead for University Interscholastic League (UIL) or Texas Forensic Association (TFA) events held at UTPB. The Coordinator assures adherence to State of Texas laws and statutes and the policies, guidelines and procedures of UT System and the UTPB Youth Protection Program. The position will also enjoy the responsibility of marketing the University for third-party youth programming and creating relationships with UIL and TFA Directors. Daily interactions with the public and the University's College or Department office constituencies require diplomacy, judgment, and an understanding of the University's Values. Work assignments are performed in a self-directed manner. Reports to the Director of Event Management.

1. Provide ongoing direction to Youth Program Managers of procedures and recommendations to ensure that best practices are being implemented within youth programs. Continue to assess the YPP policy and procedures to ensure compliance by program managers.

2. Assist with the development and implementation of educational programs for faculty, staff and students regarding Youth Protection Program (YPP) policy and procedures and other regulatory requirements related to youth protection compliance to ensure a safe and secure environment for youth participants in University sponsored activities.

3. Assist in research endeavors by the University that pertain to the safeguarding of minors on campus.

4. Act as a subject matter expert to evaluate and resolve questions relating to the YPP with University staff, faculty, students and visitors.

5. Maintain an inventory of youth programs that take place on the University's campus. Produce regular reports for stakeholders.

6. Keep up to date with safety and other regulatory requirements related to youth protection compliance. Monitor background clearance requirements for persons working within youth programs. Monitor insurance coverage for programs and events.

7. Maintain youth program records and manage the registration process for all programming.

8. Update and manage the University's youth programming calendar and help to coordinate marketing plans for community engagement and participation in youth programming.

9. Serve as primary contact for UIL/TFA events on campus. Coordinate local, regional, and state-wide events.

10. Serve on the University's "UIL Committee".

Required Qualifications

1. Associate's Degree.*

2. Two (2) years' work experience.

3. Strong analytical abilities.

4. Solid communications skills.

5. Ability to multi-task and thrive in a team environment.

* Experience is considered in lieu of a degree.

Preferred Qualifications

1. Bachelor's Degree

2. Experience in education, child advocacy, office management, reservations, scheduling, or event planning.

3. Strong work experience with database systems

4. Maintain confidential information and handle emergency situations in a professional manner.

Conditions of Employment

Schedule

Generally, the normal work hours for the university are Monday through Thursday, 7:30 - 5:30 pm; Friday, 8:00 am - 12:00 pm with a one-hour lunch. The individual holding this position may need to be available early morning, evening, and on weekends to meet the needs of the department. Hours worked may differ with some departments.

Standard Working Conditions

1. Able to lift various materials up to 25 pounds on an occasional basis.

2. Able to bend, crouch, and reach continuously.

3. Physically able remain seated, frequently to continuously.

4. Able to remain standing up to 15% of the time.

5. Possesses dexterity abilities required to perform job duties including extensive keyboard work, operating office equipment, performing filing, and other job-related responsibilities that include extensive wrist and hand movement.
