JOB SUMMARY:

The Project Coordinator is responsible for supporting the Client Services team by assisting and coordinating assigned projects. Responsibilities include assembling and evaluating the performance of suppliers; preparing materials for suppliers and client contacts; coordinating questions between suppliers, Subject Matter Experts, and client contacts; and managing parts of the project schedule, file transfer, and project budget. To avoid confusion for the client, the Project Manager/Team Lead will determine the extent of contact that the Project Coordinator will have with the client.

JOB RESPONSIBILITIES:
  • Communicate project information.
  • Communicate problems.
  • Send/manage files between vendors and client reviewers.
  • Coordinate language questions between translators and language experts.
  • Perform quality check on documents.
  • Maintain project-specific quality requirements.
  • Disseminate training and educational materials for suppliers.
  • Support language-related and creative-related Quality System processes and procedures.
  • Facilitate communications with suppliers.
  • Issue POs.
  • Reconcile POs with supplier invoices.
  • Assist Project Managers in the development of project plans.
  • Update project plan dates for suppliers’ steps.
  • Create budgets Assist in the processing of changes of scope.
  • Assist in tracking departmental profitability.
  • Assist in tracking market rates and trends, communicate them within the department, and establish the terms and protocols for cultivating a mutually-beneficial partnership between company and its suppliers.
  • Track market trends and tools, both new and evolving, used to improve communication, workflow and efficiency.
  • Provide necessary and proactive PC-related training for staff.
  • Create, as necessary, training and educational materials for staff and suppliers.
  • Educate and train suppliers on key PC processes and procedures.
EDUCATION AND EXPERIENCE:
  • B.A. preferred.
  • Experience as coordinator or administrative assistant preferred.
  • Experience in MS Windows and Office.
