What is ABCD looking for in a Program Coordinator

We’re searching for a Program Coordinator to provide direct support to the iLab Department, where we are the leading force in creating groundbreaking innovations, unforgettable experiences, and unparalleled market success. In this role, the Program Coordinator will be overseeing, organizing, and managing various aspects of Innovation, Events, and Sales. The ideal candidate is passionate, detail-oriented, and dedicated to providing superb project and time management skills. The Program Coordinator will work closely with a multitude of internal and external cross-functional teams including innovation, events, and sales.

  • Strategic Oversight and Management
  • Oversee iLab department strategic initiatives, key performance objectives, activities, and tasks ensuring timely completion.
  • Monitor the progress of iLab department initiatives against its goals and objectives.
  • Identify areas for improvements within the iLab department and develop strategies and solutions to enhance effectiveness.
  • Financial Planning and Resource Management
    • Prepare and manage the iLab annual department budget, ensuring resources are allocated effectively.
    • Determine and arrange for resources needed to complete department objectives.
    • Maintain accurate records across the iLab department, including financial transactions, departmental activities, and receipts during travel, and organize them into event budgets.
  • Logistics and Coordination
    • Perform scheduling coordination duties for the iLab department, including travel and accommodation coordination for the Events and Sales Team.
    • Work with the Operations Team to coordinate logistics, including venue booking, transportation, and accommodation arrangements as necessary.
    • Operate as the event HQ manager during events for the Events Team, including inventory of equipment and supplies.
  • Team Support and Communication
    • Work closely with team members and provide them with administrative support as needed.
    • Participate in internal planning meetings including distributing agendas, taking minutes, and developing recaps.
    • Promote the iLab department through various channels, including social media.
  • Performance Analysis and Reporting
    • Collect and analyze data related to the iLab Department’s performance and outcomes.
    • Prepare and present regular reports on iLab department findings, including successes, challenges, and recommendations for improvement.
  • Event Planning and Management
    • Organize and manage iLab department events and activities as needed and ensure they’re aligned with the agency-wide goals.

KNOWLEDGE REQUIRED: 
Required and preferred knowledge and experiences to succeed. 
  • Education
    • Bachelor's Degree, major in Hospitality, Marketing, Business, Communications, or a related field.
  • Work Experience
    • Minimum of 3 years as a program coordinator.
    • Experience in events and/or administration is a plus.
  • Critical Components for Success in Your Role at ABCD
    • Proven understanding and experience in supporting events.
    • Strong interpersonal and communication skills (written and oral).
    • Strong organizational skills, including multitasking, time management, and meticulous attention to detail.
    • Strong experience utilizing Excel and PowerPoint to analyze data, create charts, graphs, and presentations.
    • Highly motivated self-starter.
    • Ability to handle pressure and make split-second decisions.
    • Polished and professional demeanor.
    • Ability to work independently and as part of a team.
    • Ability to analyze situations, identify problems, and develop effective solutions
    • Proficiency in using project management tools and techniques to plan, execute, and monitor.
    • Flexibility to travel both domestically and internationally, as needed.
