Patient Admissions Coordinator Job Description and Summary:
This role ensures quality intake and set up for care of incoming patients as they begin their healthcare
journey with RH Providers and the Clinic. This is an administrative role, an essential function for
initial greeting, intake, assessment, admissions, onboarding and transfer of patients to the clinical
team.

The Patient Admissions Representative, as the first point of contact with the company must convey the
culture and values of the organization in that contact. The role is responsible for the qualification and
admission process for new patients by ensuring patients meets the admissions criteria for insurance
reimbursement or cash-pay for services, identifying the clinical team to deliver care, completion of all
required forms and document submission, scheduling patient visits within prescribed policies and
processes, and ensuring the clinic Provider/MA team is prepared for the patient's first visit. This role
reports to the Operations Manager.

Patient Admissions Coordinator Job Responsibilities:
  • Answer incoming phone calls to the Patient Admissions line; answer general questions about the practice and
  • provide next steps for a prospective patient.
  • Receive web form inquiries from prospective patients; monitor and report to Operations Manager on inquiry
  • volume and conversions.
  • Evaluate each insurance patient’s application to determine if they meet medical, geographical, insurance and
  • any other requirements; for insurance-pay patients, submit and manage patients’ insurance for verification by
  • AnnexMed.
  • Provide qualifying patients with next steps including but not limited to New Patient Application completion,
  • request for medical records.
  • Process Cash Pay patients in accordance with the guidelines set in the developing cash pay program.
  • Schedule each patient and ensure compliance with consent form completion, OnPatient portal activation, etc.
  • Track scheduled patients on the Patient Admissions Tracker spreadsheet, and weekly stats on the Reporting tab.
  • Escalate questions or patient situations to the Operations Manager.
  • Escalate insurance or acceptance criteria questions.
  • Report any technical issues with Typeform or the Patient Admissions Packet, any difficulties with the process,
  • decline in patient volume, or any suggestions for improvement, meeting regularly with management and
  • collaborate to resolve. 

Job Description: Patient Admissions Coordinator
  • Maintain organization of Patient Admissions files and data within Gmail and SharePoint.
  • Collaborate with New Patient Scheduling support team member(s) to ensure accuracy and cohesion in
  • scheduling and process.

Educational and Experience Requirements and Preferences
  • 2+ years customer service experience.
  • 1+ years medical patient service experience, possess demonstrated commitment to customer service.
  • Knowledge of and/or willingness to learn medical insurance cycle.
  • High school diploma; undergraduate degree and/or healthcare-related credential preferred.

Required Physical Demands
Perceptive acuity and physical ability to perform all direct and indirect workplace functions
including walking, sitting, standing, bending and light lifting is required. Ability to
occasionally lift and carry 25 lbs. up to 50 feet.
