POSITION SUMMARYThis position is responsible for managing the administrative functions of the Rush Homes office, providing essential support to other departments within Rush Homes. These duties will be performed in compliance with the Fair Housing Act and per Rush Homes’ standards of confidentiality.
POSITION DETAILS:
- Maintain an organized and efficient office in function and appearance including acquiring office supplies, managing the telephone system, and maintaining an effective filing system.
- Serve as initial point of contact both in person and by telephone for Rush Homes, projecting a professional and friendly image at all times.
- Perform bulk mailings, copying, faxing, and filing as needed.
- Maintain and update Rush Homes’ procedures and policy manuals.
- Recruit and maintain volunteers supporting Rush Homes’ office and operations.
- Coordinate volunteer groups in providing a variety of services for Rush Homes.
- Develop and maintain a database of volunteers; track and record volunteer hours.
- Maintain donor database by entering all contributions, grants, and other requested data. Prepare and provide thank you letters.
- Perform fundraising mailings, and assist with donor, prospective donor and volunteer correspondence.
- Assist in preparation and support for all Rush Homes’ fundraising events.
- Assist in grant requests development and grant application packaging as requested.
- Assist with maintaining all Rush Homes’ organization certifications and compliance with funders and/or government regulations.
DESIRED QUALIFICATIONS:
- Highly organized with experience in office administration.
- Ability to problem solve and be an independent thinker.
- Associates Degree or equivalent experience.
- Friendly, positive demeanor is a must.
- Proficiency in Microsoft Office applications specifically Outlook, Teams, Word, and Excel.
- Bulk mail experience a plus.
- Willingness to learn.
Hours of Work. This is a full-time, non-exempt position, working 40 hours per week, Monday to Friday. Occasional evening or weekend support may be required for special events.

Working Conditions/Physical Requirements. This job operates in a professional office environment. On occasion this position may work off-site at events. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to move for prolonged periods of time for resident services events. The employee is frequently required to operate a computer and other office equipment, communicate information and ideas so others will understand, observe details at close range, and will occasionally move items weighing up to 30 pounds.
Travel Requirements. Local travel required. Must possess a valid driver’s license and reliable transportation to travel in support of Rush Homes events across multiple properties. Mileage reimbursed.
