Accounting Assistant: We are currently seeking a full-time in-house accounting and billing assistant at our Iselin, NJ Office. In this position, you will provide accounting, administrative, and clerical support to the accounting department. Under the direction of the Director of Accounting, duties encompass managing A/P and A/R entries in the general ledger, handling credit card transactions, balancing bank statements, generating Excel reports, and documenting various activities. Candidates must display a positive attitude and the flexibility and attention to detail. Essential Job Duties and Requirements:
  • Provide accounting and clerical support.
  • Assist with the data entry of accounts receivable and payable invoices.
  • Assist with job costing entries and reconciliations.
  • Assist in accounting with special projects.
  • Assist with general office filing.
  • Assist with reconciling credit card transactions.
  • Processing bank deposits, retrieval, and processing of incoming mail.
  • Assist with general office duties including making copies, scanning documents, faxing, and mailing.
  • Assist with monthly reconciliations.

Accounts Payable:
  • Detail calculation of attorney compensation.
  • Client cost.
  • Firm expenses.
  • Trust Accounting.
  • Attorney/Employee Expense Reimbursement.
  • Credit Card and banking Reconciliation.

Accounts Receivables:
  • Bank deposits on Remote Deposit Machines & bank branch.
  • Post Cash Receipts to clients’ accounts.
  • Enter retainer, prepayments, etc. in the accounting system.
  • Received clients’ payments via credit card.
  • Prepare A/R Report.

General Bookkeeping Duties:
  • Communicate with Accounting staff at other offices on inquiries and discrepancies.
  • Provides department workflow support.
  • Perform other duties as assigned.
 Qualifications and Applied Skills and Abilities:
  • Ability to focus attention on a task for some length of time is needed to perform the essential functions of the job.
  • Attention to detail and ability to multi-task.
  • Ability to communicate effectively with lawyers, business services employees, and peers.
  • Ability to meet deadlines and work well under pressure.
  • Ability to prepare accurate and detailed work products.
  • Proficiency in Microsoft Office.
  • Ability to exchange information, present ideas, and report in a clear and concise manner.
  • Strong organizational skills and ability to manage large amounts of data.
  • Ability to organize time, prioritizes workload effectively, and works independently.
  • High comfort level with sometimes stressful client requirements.
  • Reliability, dependability, and strong motivation to respond to requests quickly.
  • Excellent written and verbal communication skills.
 Education, Certifications, and/or Experiences:
  • High school diploma or equivalent.
  • Minimum three years’ accounting experience.
  • Law Firm or professional services background preferred.
  • Computer literacy, including the use of Microsoft products.
