Administrative Support Manager
Description of Responsibilities CanyonHills Friends Church

Introduction
The responsibilities listed define the minimum expectations of CanyonHills Friends Church for the position of Administrative Support Manager. Our desire is that the Administrative Support Manager will work not only to maintain the current standard, but also strive for best practices in church systems, for the glory of God and the expansion of His Church.

Specific Responsibilities
The Administrative Support Manager is a position requiring 40 hours per week:
  • Office Hours are 8:30 am to 4:30 pm Monday - Friday
  • In office hours only - This is not a remote position.

The following are the primary responsibilities of the Administrative Support Manager, but is not an all-inclusive list. The Administrative Support Manager will:

Pastoral Support & Ministry Team Support
  • Provide high-level executive support to all Pastoral Staff members, including calendar management, meeting coordination, event planning and administrative support.
  • Offer limited support to Ministry Team leaders as needed, assisting with scheduling and coordination of activities.

Church Office
  • Manage the church office, including oversight of church and general ministry supplies, equipment maintenance, and facility needs.
  • Ensure the office environment is well-organized and conducive to productivity.
  • Coordinate with relevant stakeholders to address any church-related issues or concerns.
  • Develop an annual church budget.

Communication
  • Serve as a primary point of contact for internal and external inquiries, ensuring prompt and courteous responses.
  • Act as the director of all communication channels, including personal appointments, written correspondence, phone calls, voicemail, email, website updates, and social media platforms.
  • Manage the church's electronic and printed media publications, ensuring content accuracy, relevance, and adherence to brand guidelines.
  • Develop and maintain the Church Master Calendar using Event Request Forms.
  • Be responsible for the creation and facilitation of various forms of print media and mail intended for staff members, encompassing, yet not limited to, the following: Weekend Worship Flyers, Kiosk Signs, Church Letters, Community Mass Mailings, and Flyers and handouts for weekend events.

Database Entry & Maintenance
  • Oversee database entry, maintenance, and generation of database reports, as well as manage platforms and reports such as PCO Workflow, Event Request Forms, weekly attendance and online viewership.

Meetings
  • Attendance at Staff Meetings
    • Tuesdays at 12:30pm
    • Record minutes during and subsequently email them to the designated parties.
    • Coordinate lunch.
    • Provide devotional as scheduled.
  • Establishment and management of a comprehensive calendar detailing the availability of all meeting rooms, alongside the implementation of a reservation system to facilitate efficient scheduling.
  • Maintenance of all meeting rooms, ensuring they are kept well-supplied and tidy for all uses.

Other
  • Must have a valid driver's license, maintain it, and have adequate automobile insurance.
  • Must be ambulatory and able to function in active physical interactions.
  • Must be able to carry or lift objects that weigh up to 25 lbs. for various program and event related activities.
