Front Desk Receptionist

Primary Duties:Reception Management
- Phone Management: Answer and direct incoming phone calls to the appropriate personnel in a professional and courteous manner. Answer general inquiries. Ensure effective communication with clients, attorneys, and team members.
- Greeting Visitors: Welcome and guide clients and visitors, ensuring a positive and professional experience.
- Intake Support: Assist the intake team in gathering initial information and ensuring a positive experience for potential clients.
- Client Follow-Up: Proactively follow up with clients and potential clients, ensuring timely and effective communication.
- Office Organization: Maintain and organize office files, documents, and supplies. Ensure the office remains clean, tidy, and well-organized.
- Office Supplies Management: Monitor and manage the inventory of office supplies, placing orders as needed.
- Mail and Deliveries: Handle the receipt, sorting, and distribution of incoming mail and deliveries. Prepare outgoing mail and packages as required.
- Reception Area Maintenance: Keep the reception area clean, organized, and stocked with necessary materials such as brochures and business cards.
- Administrative Assistance: Provide general administrative support to the legal team and Office Manager, including data entry, filing, copying, and document preparation.
- Appointment Management: Schedule, confirm, and manage appointments for attorneys and other staff, coordinating efficiently with clients.
- Note-taking: Accurately record detailed notes during meetings, phone calls, or as directed by team members. Ensure notes are organized and accessible for future reference.
- Paralegal Assistance: Support paralegals with basic legal tasks, such as drafting simple documents, and organizing case files.
- Attorney Support: Assist attorneys by preparing case materials, managing client meetings, and handling correspondence.
- Court Filings: Assist in preparing and filing legal documents with courts.
Qualifications:
- Education: High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
- Experience: Previous experience as a receptionist, preferably in a legal or professional services environment, is highly desirable.
- Excellent verbal and written communication skills.
- Strong organizational skills and keen attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong typing skills.
- Ability to multitask and prioritize effectively in a fast-paced environment.
- Familiarity with legal terminology and documentation.
- Ability to handle sensitive and confidential information with the highest level of discretion and professionalism.
