We have 4 locations across Texas: Houston, The Woodlands, Austin and San Antonio.


Responsibilities

We are seeking a meticulous and experienced Payroll Specialist to manage all aspects of payroll processing for our employees. The Payroll Specialist will be responsible for ensuring accurate and timely payroll, handling payroll-related inquiries, and ensuring compliance with all relevant laws and regulations. This role is critical to maintaining employee satisfaction and operational efficiency within our growing civil engineering firm.

Payroll Processing:

  • Manage end-to-end payroll processing for all employees, including data entry, validation, and reconciliation.
  • Calculate wages, overtime, deductions, bonuses, and other forms of compensation.
  • Ensure payroll is processed accurately and on time in accordance with company policies and legal requirements.

Payroll Compliance:

  • Stay updated on changes in payroll laws and regulations, ensuring compliance with federal, state, and local requirements.
  • Prepare and submit payroll tax filings, including quarterly and annual reports.
  • Handle garnishments, tax levies, and other payroll deductions as required by law.

Employee Records Management:

  • Maintain accurate payroll records, including employee timekeeping, wage adjustments, and benefits deductions.
  • Ensure confidentiality and security of payroll data.

Benefits & Deductions Administration:

  • Coordinate payroll-related aspects of employee benefits, including health insurance, retirement plans, and other voluntary deductions.
  • Process benefit changes, enrollments, and terminations in the payroll system.

Payroll Reporting:

  • Generate and distribute payroll reports, including earnings statements, payroll summaries, and labor cost analyses.
  • Provide payroll data and analysis to finance and HR teams as needed.

Employee Support:

  • Respond to employee inquiries regarding payroll, timekeeping, and deductions in a timely and professional manner.
  • Resolve payroll discrepancies by collecting and analyzing information.

System Management:

  • Maintain and update payroll systems and software, ensuring accurate data management and integration with other HR systems.
  • Work with IT and HR teams to troubleshoot and improve payroll system functionality.

Auditing & Reconciliation:

  • Perform regular audits of payroll data to ensure accuracy and compliance.
  • Reconcile payroll-related accounts, including expense reports, benefits, taxes, and other deductions.

Qualifications

  • Bachelor’s degree in Accounting, Finance, Business Administration, or related field (or equivalent experience).
  • 3+ years of experience in payroll processing, preferably within the civil engineering, construction, or related industry.
  • Strong knowledge of payroll practices, tax regulations, and labor laws.
  • Proficiency in payroll software (Paycom, Ajera) and Microsoft Office Suite, especially Excel.
  • Excellent attention to detail and accuracy in data entry and reporting.
  • Strong analytical and problem-solving skills.
  • Ability to handle sensitive information with confidentiality and professionalism.
  • Excellent communication and interpersonal skills.
