Job Summary:


The Recruiting Operations Manager is responsible for overseeing and optimizing the recruitment processes, systems, and workflows to ensure the Talent Acquisition (TA) team operates efficiently and effectively. This role will manage recruiting operations tools, drive improvements, streamline processes, and ensure compliance across all recruiting activities. The ideal candidate has a strategic mindset with a deep understanding of talent acquisition processes, data analytics, and process automation, and excels in a fast-paced, dynamic environment.


Key Responsibilities:

  • Process Improvement & Optimization:
  • Identify opportunities to improve recruitment workflows, automating repetitive tasks where possible.
  • Lead the implementation of new processes, tools, and technologies to optimize efficiency within the recruitment cycle.
  • Ensure consistency and standardization across all recruiting processes.
  • Recruiting Systems Management:
  • Oversee and manage the Applicant Tracking System (ATS), CRM platforms, and other recruiting tools.
  • Partner with IT and other stakeholders to troubleshoot and resolve system issues.
  • Continuously assess and evaluate the performance of recruiting tools and systems, making recommendations for upgrades or changes.
  • Data Analytics & Reporting:
  • Develop, track, and analyze key recruiting metrics and performance indicators (KPIs).
  • Provide data-driven insights and reporting to leadership on recruiting trends, process bottlenecks, and team performance.
  • Create dashboards and reports to help Talent Acquisition teams make informed decisions.
  • Compliance & Governance:
  • Ensure recruiting practices and processes comply with legal and company policies, including data privacy (e.g., GDPR, CCPA) and equal employment opportunity standards.
  • Maintain and update recruiting process documentation, ensuring all teams follow compliance standards.
  • Cross-Functional Collaboration:
  • Collaborate with HR, Finance, and other internal teams to ensure a seamless candidate experience and smooth onboarding.
  • Work with Talent Acquisition leadership to align recruiting operations with broader business objectives.
  • Vendor Management:
  • Manage relationships with external recruiting vendors, agencies, and software providers.
  • Evaluate vendor performance and negotiate contracts to ensure cost efficiency.
  • Training & Support:
  • Train recruiting teams and hiring managers on new processes, tools, and system functionalities.
  • Act as the primary point of contact for recruiting tools, providing ongoing support and troubleshooting.


Qualifications:

  • Education: Bachelor’s degree
  • Experience:
  • 3+ years of experience in recruitment operations, talent acquisition, or HR operations.
  • Experience managing Applicant Tracking Systems (ATS) and other recruiting technologies.
  • Strong track record of leading process improvement initiatives within a recruitment environment.


  • Skills:
  • Strong analytical skills, with the ability to leverage data to drive decision-making.
  • Excellent project management skills, with the ability to manage multiple projects simultaneously.
  • Proficiency in Excel, Google Sheets, and other reporting tools.
  • Familiarity with HR and recruiting technologies (e.g., ATS, CRM, HRIS).
  • Strong communication and interpersonal skills, with a collaborative mindset.


Preferred Qualifications:

  • Experience in a high-growth, fast-paced technology or startup environment.
  • Knowledge of employment law and recruiting compliance standards.
