Executive Assistant to Chief Executive Officer

Role Overview:

We are seeking a highly organized and proactive Executive Assistant to support our CEO in a fast-paced environment. The ideal candidate will possess exceptional administrative skills, a keen attention to detail, and the ability to manage multiple tasks efficiently. This role is crucial in ensuring the smooth operation of the executive office and requires a professional who can maintain confidentiality while providing high-level support.

Responsibilities:

  • Provide comprehensive administrative support to the CEO, including managing schedules, coordinating meetings, and preparing necessary materials.
  • Proofread and transcribe documents to ensure accuracy and professionalism in all communications.
  • Maintain organized filing systems for both physical and digital documents.
  • Handle customer service inquiries with professionalism, acting as a liaison between the CEO and clients or stakeholders.
  • Manage front desk responsibilities, greeting visitors and directing them appropriately.
  • Utilize DocuSign for document management and electronic signatures.
  • Assist with financial tasks using QuickBooks, including expense tracking and basic bookkeeping duties.
  • Collaborate with other departments to facilitate effective communication and project coordination.

Qualifications:

  • Strong proofreading skills with an eye for detail.
  • Proficient in transcription with excellent typing speed and accuracy.
  • High level of computer literacy, including proficiency in Microsoft Office Suite.
  • Excellent customer service skills.
  • Knowledge of DocuSign and QuickBooks is advantageous.

Experience:

  • Administrative experience: 5 year (Required)
  • Experience in providing executive administrative support, preferably for corporate CEOs, is preferred.
