About the Inventory & Purchasing Manager Position

This role manages purchasing, product intake, product fulfillment, vault operations, and coordinates with dispensary management to ensure the right mix of products are stocked to meet customer needs. 


Purchasing 

  • Responsible for reviewing vendor menus and placing all product orders
  • Collaborating with front of house team to ensure the right mix of products are stocked to meet customer needs 
  • Utilize effective reporting and data analysis to make informed and strategic ordering decisions
  • Establish and nurture relationships with local growers and product vendors
  • Coordinate with vendors to determine product availability and manage all necessary documentation for purchase
  • Ensure purchase orders are built into inventory tracking systems to ensure all product is entered within 24 hours of receipt and ready for sale
  • Responsible for maintaining quality and regulatory compliance of all product in stock including packagingand labeling
  • Coordinate with vendors to obtain product information and communicate product features to dispensary sales and management staff


Reporting and Analysis

  • Prepare reports as determined by the inventory & purchasing team and management, which include:
  • Weekly sales and replenishment reports
  • Weekly inventory reconciliation
  • Monthly METRC POS reconciliation


Product Intake

  • Manage all aspects of receiving product deliveries from vendors 
  • Ensure quality compliance with relevant receiving and processing SOP’s including:
  • Physical counts and any relevant vendor rejections/notifications
  • Digital requirements for METRC, manifests, etc.
  • Timely stickering of new inventory and availability for sale


Vault Operations

  • Pick and pull orders for fulfillment when in-store (online and in-person).
  • Assist with dispensary sales and operations (customer service, cash counts, etc.) when needed
  • Establish SOP’s and quality standards for all Vault operations
  • Train and supervise staff when performing “Back of House” roles in the Vault
  • Establish and maintain BoH in a clean and organized manner with all products & bins labeled and maintained consistent with SOPs
  • Supervise the proper handling of products for sale, returned products, discarded inventory, inventory destruction and ensure accurate entries are made in company systems to reflect activity


Counts/Auditing

  • Organize, manage, and assist in physical inventory counts
  • Ensure inventory counts are being performed on schedule (at minimum monthly) with acceptable results and the proper documentation
  • Direct the settlement of all inventory discrepancies and report the resolution of such discrepancies


Requirements

  • 2+ years experience in cannabis inventory oversight, preferably in retail
  • Strong knowledge of cannabis products, strains, and industry trends
  • Strong Knowledge of point-of-sale system and METRC
  • Advanced knowledge and experience with data integration and extraction from and to multiple diverse data sources and software programs
  • Excellent organizational and problem-solving skills
  • Attention to detail and ability to maintain accurate records
