Job Summary

The Benefits and Wellbeing Specialist is responsible for administering, auditing, and coordinating the companies’ benefits and well-being programs and practices; consulting as the primary subject matter expert with team members and third parties, and managing vendor relationships and administration processes. This subject matter expert is an experienced professional responsible for understanding the full cycle of benefit administration, well-being best practices, and vendor management. This position is responsible for ensuring the company’s benefits programs and practices are consistently administered in compliance with internal standards of operations and regulatory requirements.


Essential Functions

  1. Responsible for coordinating, managing, and leading the benefits discipline for the organization including daily support to others on the company benefits; vendor relationships; Annual Open Enrollment process; well-being strategy execution; and other related benefit initiatives. Provides management planning and control information by collecting, analyzing, and summarizing employee benefit data and trends.
  2. Responsible for leading the company’s annual Wellbeing and Wellness strategy. Is familiar with wellbeing resources, practices, and campaign events to promote good health. Has the ability to ensure the company utilizes all aspects of the vendor programs that add value to team members’ well-being.
  3. Responsible for Absence Management (FMLA, STD, and LTD) from vendor relationships, case management, and team member support. Partners with HR Managers, Managers, and team members throughout the process.
  4. Provides counsel and subject matter expert direction on requests related to the Americans with Disability Act. Manages and tracks ADA requests and accommodations.
  5. Acts as key liaison with the benefit broker and vendors. Provides subject matter expert advice to team members on the company’s benefit offerings.
  6. Reconciles monthly billing in a timely fashion and proactively takes action to resolve issues with billing.
  7. Understands and utilizes HR Analytic dashboards and reports for Management that provide predictive insights and key performance indicators related to human capital management, especially in the discipline of benefits. Skillfully identify trends, and areas of concern, and recommend actionable solutions. Is comfortable with using technology and supporting HR digital solutions.
  1. Maintains compliance with HR employment laws and regulations and recommended best practices; reviews policies and practices to maintain compliance. Aware of current Benefits trends, best practices, benchmarking, and regulatory changes affecting benefit administration.
  2. Responsible for filing, posting, and administration recordkeeping for all required federal Notices related to benefits.
  3. Lead and/or participate in Special Projects related to HR and Total Rewards.
  4. Perform other related duties, as assigned.

Knowledge, Skills, and Abilities

  • The discipline of Human Resources and/or Total Rewards - Benefits: Knowledge of principles and procedures for total rewards specifically in benefits, employment practices, labor law, and HR technology platforms.
  • Culture Practices: Knowledge of benefit practices that ensure the workplace experience drives positive attraction and retention of talent, a sense of well-being and belonging, and community.
  • Communication: Provides both written and verbal communication that is concise, informative, and clear information. Is comfortable speaking in large groups. Listen attentively.
  • Complex Problem Solving: Identifying complex problems and reviewing related information to develop and evaluate options and implement solutions.
  • Resilience and Emotional Intelligence: Can remain unbiased and resilient in challenging situations and times while providing common-sense coaching and advice to others.

Work Environment and Physical Demands

  • In an office environment. This is not a remote role.
  • Prolonged periods of sitting and/or at a Varidesk desk and working on a computer.
  • Must be able to lift ten pounds infrequently.

  • There is no predicted travel in this job at this time

Education and Experience

  • Bachelor's degree or equivalent in business, human resources, or related field and five or more years of progressively responsible experience in the total rewards discipline.
  • Experience in benefits administration is required.
  • Experience in HCM and third-party vendor technology platforms. ADP Workforce Now experience is preferred,
  • Certified credentials from WorldatWork are a plus.
