Position: Administrative Assistant 2
Position Status: Full-time
Salary Range: Pay grade starts at $16.84/hour. Salary will be reflective of education, credentials, and experience.
Scope: This position will provide responsible administrative support to the Communicable Disease Prevention and Control service area and various other programs throughout the agency. Perform various front line customer service and clerical responsibilities in support of assigned program or function.
Essential Duties (including, but not limited to):
- Provides administrative support to ensure efficient operation of main reception area.
- Answers phone calls, schedules meetings and supports visitors. Explain basic information and answer questions about assigned area and ZMCHD programs.
- Perform general clerical responsibilities in support of program, agency function, or staff. Enter data into electronic and hard copy records, spreadsheets, and databases. Copy, file, and retrieve documents. Complete reports.
- Carries out administrative duties such as filing, typing, copying, binding, scanning etc.
- Completes operational requirements by scheduling and assigning administrative projects and expediting work results.
- Makes travel arrangements for senior staff such as booking flights, cars, and hotel or restaurant reservations.
- Exhibits polite and professional communication via phone, e-mail, and mail.
- Supports team by performing tasks at customer service windows.
- Develops administrative skills through provided information, educational opportunities, and experiential growth opportunities.
- Ensures operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques.
- Provides information by answering questions and requests.
- Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.
- Contributes to team effort by accomplishing related results as needed.
- Participate on committees, meetings, trainings, and events as requested.
- Complete meeting minutes as assigned or requested.
- Maintain confidentiality of confidential or sensitive records and information pertinent to the assigned position.
- Perform other related duties as assigned or requested

Minimum Qualifications: An appropriate combination of education, training, course work, and experience may qualify an applicant to demonstrate required knowledge, skills, and abilities. An example of an acceptable qualification is:
- High school diploma or GED
- Associate’s degree in administrative assisting or related field preferred
- Minimum of three to five years of experience in an administrative support position.
- Knowledge of appropriate software including: Microsoft Word, Excel, PowerPoint, Adobe Acrobat, Google products and other job related computer software.
- The successful candidate will need to be highly detail oriented, organized, and dependable with demonstrated proficiency in computer, communication, and multi-tasking skills.
- Valid Ohio Driver’s License
- Non-tobacco user
