JOB DESCRIPTION SUMMARY

The basic function of the Intermodal Dispatcher position for Tri Star Freight System, Inc. (“TSFS”) is the planning, scheduling, and dispatching of our customer’s freight. The Intermodal Dispatcher is instrumental in the successful coordination of the timely and accurate delivery of goods. The key responsibilities of this function are to provide exceptional support to our customers and drivers, be quick to respond to questions and troubleshooting concerns and to proactively monitor the movement of freight to ensure customer satisfaction.

 

REPORTING RELATIONSHIPS

Intermodal Dispatcher reports directly to and is fully accountable to the Director of Terminal Operations hereafter referred to as Manager and reports indirectly to the CEO.

 

QUALIFICATIONS / REQUIREMENTS

Education and Experience:

  • Requires a High School Diploma or equivalent.
  • At least 2 years’ experience in the Transportation, Freight, Supply Chain and/or Logistics Industry
  • At least 2 years of experience as a Dispatcher in the transportation/freight industry.
  • At least 1 year of container Intermodal Dispatch experience.
  • At least 1 year of experience working with owner operators.
  • At least 1 year of port and rail experience.

 

Licensing / Registration / Certification

  • Valid Driver’s License

 

Skills / Abilities:

  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

  • Ability to operate various office equipment such as computer, copier, scanner, calculator, fax machine, phones, printers, etc.
  • Must have a basic understanding of clerical procedures and systems such as recordkeeping and filing.

  • Must be proficient in MS Office applications (Excel, Outlook, and Word) spreadsheets, databases and industry software, ability to quickly learn new software.

  • Must be highly dependable as attendance, being on time as well as being at work as expected is very important.

 

 ESSENTIAL DUTIES AND TASKS

  • Perform all Intermodal Dispatcher duties.
  • Treat owner/operators in a courteous, professional manner to ensure driver retention.
  • Locate loads, empties.
  • Check releases in the port rail system.
  • Release equipment.
  • Input workorders and print dispatch sheets for drivers.
  • Check releases in the system.
  • Release equipment.
  • Schedule loading and delivery appointments.
  • Process and input workorders and print dispatch sheets for drivers.
  • Update systems as needed.
  • Monitor and answer emails hourly.
  • Prepare daily drop and dispatch report.
  • Review and monitor daily reports in web applications.
  • Process driver settlements correctly and on time.
  • Process demurrage / per diem.
  • Process assessorial charges / billing authorizations.
  • Process tire bills.
  • Process and understand swing orders and renting a chassis.
  • Monitor yard report for containers LFD.
  • Get maps/directions as needed.
  • Request fuel advances or comchecks.
  • Coordinate drivers for different areas/states.
  • Answer drivers calls and respond to problems, equipment, tires.
  • Answer customer calls requesting POD’s and appointments.
  • Update APL, ACL, MSC, Maersk and Crowley systems as needed.
  • Prepare monthly reports for safety.
  • Assuring customer satisfaction concerning the delivery of cargo.
  • Assuring that all paperwork is completed accurately and in a timely manner.
  • Assuring that the customer is kept informed of all promised delivery dates.
  • Maintains cooperative and positive working relationships with customers, coworkers, vendors, and the business community.
  • Understand that The Customer Is Our First Priority.
  • Maintain the confidentiality and security of company and customer records.
  • Ensure that all customer complaints are acted upon quickly and the results are monitored.
  • Maintain credibility.
  • Thoroughly think through and refer to company values and company policies before making decisions.
  • Always represent TSFS in a professional demeanor.
  • Complete and perform any other duties and responsibilities as assigned.
