Position Overview: The Revenue Capture/Billing Specialist will play a crucial role in the Document Imaging Department at Vital ECM. The ideal candidate will be responsible for ensuring that all accounts are accurately billed for support work and recurring subscriptions for SaaS licenses, maintenance, and hosting. This position requires a detail-oriented individual with strong organizational skills and a commitment to maintaining the financial integrity of our operations.

Key Responsibilities:

  • Revenue Capture:
  • Ensure accurate and timely billing for all document imaging services provided.
  • Manage the billing process for recurring subscriptions, including SaaS licenses, maintenance, and hosting services.
  • Verify and reconcile invoices to ensure accuracy and completeness.
  • Billing and Invoicing:
  • Prepare and issue invoices for support work, recurring subscriptions, and other related services.
  • Track and follow up on outstanding invoices to ensure timely payment.
  • Address and resolve any billing discrepancies or issues promptly.
  • Account Management:
  • Maintain detailed records of billing transactions and account statements.
  • Work closely with the finance team to ensure accurate reporting and compliance with company policies.
  • Provide regular updates on billing status and revenue capture activities to the management team.
  • Customer Support:
  • Respond to customer inquiries regarding billing and account status.
  • Assist customers with any issues or questions related to their invoices.
  • Ensure a high level of customer satisfaction by providing prompt and professional support.
  • Coordinate box pickups with Records Department.
  • Process Improvement:
  • Identify opportunities to streamline billing processes and improve efficiency.
  • Implement best practices for revenue capture and billing procedures.
  • Stay updated on industry trends and regulatory changes affecting billing and revenue capture.


Requirements:

Qualifications:

  • High School Diploma or equivalent.
  • Proven experience in billing, invoicing, or revenue capture roles, preferably within the SaaS or technology industry.
  • Strong attention to detail and excellent organizational skills.
  • Proficient in using billing and accounting software.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Strong problem-solving skills and ability to handle multiple tasks simultaneously.
