Overview of the Operations Manager - Tabulations:

The Operations Manager - Tabulations will lead, manage, and coach team members to support company business objectives while improving the internal and external customer experience and meeting service level goals. They will act as an advocate for the company and our customers and drive a commitment to deliver first in class service. The Operations Manager will engage team members and facilitate their growth organically. The Operations Manager is responsible for all aspects of Tabulation operations. Reporting into the Head of Operations, the Tabulations Manager will lead and oversee the execution of the daily activities within the Tabulations Team. This is a hybrid position, and we are looking for this person to come into our Cary, NC office 3 times a week.

Duties and Responsibilities of the Operations Manager - Tabulations:

  • Manage a team of Tabulations Associates and Tabulations Team Leads ensuring all tasks and duties are executed and monitored according to deadlines and the company’s set guidelines and regulatory policies.
  • Oversee and direct business processes for the department, including creation, sustaining, and improving existing and/or new processes and KPI Performance Management.
  • Identify potential challenges in meeting accuracy or performance requirements and incorporating best practices.
  • Provides problem-solving capability and direction by escalating issues and roadblocks as warranted.
  • Ensure continuous process efficiency and improvement by identifying and recommending opportunities for process improvement and/or prevent repeat issue occurrences.
  • Manage the Department’s SLA performance & SOC compliance, ensuring all procedures and processes meet regulatory requirements & are up to date.
  • Promote strong relationships with colleagues, clients, and external vendors.
  • Responsible for employee relations including training oversight, escalations, mentoring, assessing, and managing staff performance including personnel development, onboarding, and training new hires and establishing performance objectives.
  • Measure team performance and provide department updates and production metrics to senior management.
  • Make decisions and resolve identified issues and provide knowledge base for learning.
  • Collaborate with business and fulfillment stakeholders.
  • Function as part of a team to foster smooth efficient workflow.
  • Plan for and respond to changing management needs and fluctuations of workload.
  • Educate and inform staff about department’s existing and new services.
  • Manage and direct multiple priorities within tight deadline environment.
  • Ensure Controls are met, and supervisory checklists are executed as part of the controls.

Skills and Experience of the Operations Manager - Tabulations:

  • 4+years of leadership experience in Financial Services.
  • Exceptional interpersonal and communication skills and ability to easily interface with clients, operations, industry peers, and other external contacts.
  • Proven leadership skills with the ability to effectively manage staff time and priorities and adjust to fluctuating workload as well as seasonal fluctuations.
  • Capacity to think forward and determine how the team’s performance or information gathering will improve processes in the future.
  • In-depth knowledge of Microsoft Office products, including Excel, Word and Power Point.
  • Able to work in a high-pressure fast paced environment and meet numerous deadlines.
  • Excellent verbal and written communication skills.
  • Exceptional organizational skills with a keen attention to detail.
