Job DescriptionJob Description

We are seeking a qualified and experienced Fleet Coordinator to join our team.

The Fleet Coordinator will be responsible for maintaining and managing our organization’s facilities and fleet of vehicles and equipment, including managing maintenance, repairs, and coordinating services to ensure efficient and safe operations. Must have experience with 100+ vehicles in the fleet.

Responsibilities:

  • Schedule fleet maintenance and repairs
  • Keep accurate records on all vehicles and equipment.
  • Make sure vehicle registrations are up to date including insurance.
  • Purchasing vehicles to expand and/or enhance the fleet
  • Ordering urgent or emergency repairs as needed
  • Developing methods to decrease cost and improve efficiency
  • Work with vendors, contractors, and property managers to ensure timely completion of repairs and maintenance tasks
  • Responding to urgent maintenance calls
  • Documenting processes and keeping maintenance records.
  • Providing reports to management on budgeting, schedules, maintenance and fleet progress
  • Coordinate facilities services, including custodial, landscaping, and security services.
  • Provide regular reports on facility operations, expenses, and projects to management
  • Make sure the fuel cards are up to date and in the correct vehicle.
  • Add or remove driver pins as needed.
  • Operates forklift as needed.
  • Manually handles, repacks, or restacks pallets of finished product as needed.
  • track and manage inventory by completing regular cycle counts.
  • receive and verify accuracy of incoming inventory.
  • Assist with issuing materials to internal and external contractors.
  • Identify and recommend improvements to the warehouse layout.
  • identify potential inventory shortages and communicate with purchasing

Qualifications and requirements:

  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Thorough understanding of fleet and facilities operations.
  • Good analytical skills and ability to make sound judgments relative to fleet and facilities.
  • Familiarity with vehicle maintenance and safety.
  • Strong computer skills, including proficiency in software, Spreadsheets, and database applications.
  • High School diploma or equivalent.
  • 2 - 5 years’ experience.
  • Ability to lift up to 50 pounds.
