Position Summary: YMCA – The YMCA of Greater Boston is dedicated to improving the health of mind, body and spirit of individuals and families in our communities. We provide welcoming, belonging and opportunity for all. The YMCA is a year-round food sponsor that provides meals to different sites throughout the city. We are a Massachusetts Department of Elementary and Secondary Education (Nutrition) sponsor of the Summer Food Service Program (SFSP) and the Child and Adult Care Food Program (CACFP). To assist us in meeting our mission and goals, the YMCA is seeking a Program Manager of Sponsored Meals to join our team. This is a full-time exempt position with a competitive salary based on skills and experience. This position is an in-person position with site visits required.
Key ResponsibilitiesThe Program Manager of Sponsored Meals oversees the implementation of CACFP and SFSP, including training and onboarding Y sites and partner organizations. The Program Manager has dual reporting responsibilities. For compliance and Site Coordination this position will report to the Senior Director of Hunger Prevention. For meal tracking and vendor invoice reviews this position will report to the Director of Business Operations. Site Administration & Coordination:
• Develops SFSP and CACFP training materials for site staff.
• Conduct training for SFSP and CACFP. Trainings includes:
o Operation/Program overview and requirements
o Record keeping (meal counts, attendance, delivery slips)
o My Food Program (MFP) Platform for data entry and collection
o Monitor and track the attendance of staff from these sites for the required training.
• Manages SFSP and CACFP recordkeeping system
o Ensure sites are utilizing My Food Program
o Review paperwork to check for errors and ensure accuracy.
o Follow up with sites who have not reported data on weekly basis.
• Reviews Household Income Eligibility Forms to determine participant eligibility for CAFP and SFSP.
• Visits SFSP and CACFP food program sites regularly, ensures compliance with program requirements, determines need, follows through on any identified corrective action.
o Track all CACFP and SFSP site reviews and monitoring visits are completed and reviewed with sites for compliance and correction.
• Submit weekly meal orders to vendor.
• Works with vendors to ensure contract compliance and program quality.
• Reviews and approves vendor menus and maintains vendor-menu documents (menus, Product Formulation Statements, and Production Logs).
• Reviews invoices from vendor to verify correct billing from vendor and submits to Director of Business Operations on weekly basis
• Coordinate communication between food service vendors and program sites.
• Keep track of amendments to SFSP and CACFP applications to be approved by Senior Director.
• Have a comprehensive understanding of federally funded, state run program requirements for CACFP and SFSP. Communicate all new policies and guidelines to all involved parties.
• Attend USDA and DESE program trainings and webinars.
• Provide technical assistance and guidance for program sites to run CACFP and SFSP programs efficiently and with integrity.
• Offer open, effective communication and interaction among the programs, partners and vendors.
• Develop and instill strong, positive program culture among sites, partners and vendors.
• Develop and maintain strong partnerships with connected sites.
• Performance of other duties as requested by YMCA supervisor.
Skills, Knowledge and ExpertiseBachelor’s Degree required.
• Understanding and ability to interpret state and federal guidelines and regulations preferred; experience in monitoring and evaluating grant-funded
programs preferred; experience in creating and implementing corrective action plans, policies and procedures preferred.
• Program management
• Food safety knowledge (ServSafe Certification)
• Microsoft platforms (excel preferrable)
• Ability to create organizational structures that assist in managing multiple sites and maintaining program data.
• Strong interpersonal, written and verbal communication skills.
• Attention to detail, accuracy, and meeting deadlines. Good judgment and discretion
• Ability to work independently, to work well in a fast-paced environment
• Ability to handle complaints and resolve issues with tact and diplomacy
• Must be motivated, energetic, punctual, responsible, and exhibit a positive attitude to be an excellent role model for children and staff members.

• Must have a valid driver’s license and vehicle to monitor all program sites. Physical Demands: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
• While performing the duties of this job, the employee is regularly required to stand; walk; use hands, handle, or feel objects, tools, or controls, talk and listen. The employee frequently is required to sit and reach with hands and arms.
• The employee must occasionally lift and/or move up to 10 pounds. Specific vision abilities required by this job include close vision, distance vision, and the ability to adjust. Work Environment:
• Time may be spent working at specific Y and partner food sites
• This is a full-time, in person role.
