Payroll/Compensation:

  • Thorough checking of timesheets for accuracy/entering data into databases and spreadsheets as required.
  • Collaborate with the accounting team on biweekly payroll processing for accuracy and check & balances procedures.
  • Process payroll for multiple entities in multiple states across the nation.
  • Understand multi-state and federal tax regulations to ensure compliance with payroll and benefits practices.
  • Work collaboratively with time and attendance approvers, managers, supervisors, and senior-level management to ensure timely processing of timecard changes, approvals, and payroll submissions. Collaborate with the HR team to report/address any non-compliance with time and attendance policies.
  • Process off-cycle payroll checks and reissue new checks for direct deposit or payroll check returns as necessary.
  • Download payroll reports for regular payroll runs and off-cycle payroll runs from HRIS and save them in a specific payroll folder.
  • Download Quarterly payroll tax reports (941, HW-14, UC-B6, 940) from HRIS and save them in a specific payroll folder.
  • Meet deadlines and manage workflow to ensure that all payroll transactions are processed accurately and on time for multiple entities in multiple states.
  • Advise employees on promptly updating pertinent payroll information in the HRIS: direct deposit information, Federal and state withholding Taxes, and W9s.
  • Reconcile payroll before transmission and validate confirmed reports
  • Process and calculate correct child support orders, garnishment payments, and compliance
  • Process garnishment responses for legal entities for each payroll cycle to ensure compliance with local regulations
  • Generates summary sheets for use by supervisor or auditor and other payroll reports as necessary for management review in a readable and clean format.
  • Obtain payroll licensing in different states and set up business accounts as needed.
  • Allocates expenditures to correct accounts according to departmental procedures
  • Research and provide solutions to pertinent time and attendance needs through the HRIS (i.e., setting up multiple job codes, pay rates, pay structures).
  • Research market trend compensations for various roles within the industry and collaborate with the HR team on effective compensation structure, planning, and implementation.
  • Evaluate compensation annually to ensure competitive rates with industry trends and inflation to determine adjustment needs.

Benefits Administration:

  • Research employee benefits plans and vendors to identify those that present the best value in collaboration with various/assigned benefit brokers.
  • Design, recommend, and implement new benefits programs. Examine possible plan designs and benefits cost changes.
  • Negotiate in collaboration with benefits brokers, vendors, and administrators for best plans, options, and rates.
  • Serve as the primary contact for plan vendors and third-party administrators regarding medical, dental, vision, 401(k), and other ancillary benefits that ALH, ASUI, CRIOH, and other associated entities may provide.
  • Coordinate data transfer to external contacts for services, premiums, and plan administration.
  • Evaluate and revise internal processes regularly (biannually to annually) to reduce costs and increase efficiency.
  • Document and maintain administrative procedures for assigned benefits processes.
  • Ensure compliance with applicable government regulations and ensure timeliness and accuracy of required reporting and fees for all benefits.
  • Coordinate daily benefits processing. Handle annual enrollments, COBRA, enrollment changes, beneficiaries, disability, accident and death claims, rollovers, Qualified Domestic Relations Orders (QDROs), Qualified Medical Child Support Orders (QMCSOs), distributions, loans, hardships, and compliance testing.
  • Oversee the maintenance of employee benefits files and contracts, maintain the group benefits database, and update employee payroll records accordingly.
  • Collaborate with the accounting team to gather employee data, oversee the processing of monthly billings, and prepare vouchers for payment of administrative fees for all group plans.
  • Analyze current benefits, evaluate the use, services, coverage, effectiveness, cost, plan experience, and competitive trends in benefits programs, and identify the company's stance.
  • Review short- and long-range cost estimates/projections and relevant statistical analyses regarding modifications in benefits programs and implementation of new programs.
  • Survey industry benefits trends. Complete benefits surveys and review the information obtained from the results. Analyze complex benefits information. Forecast trends and assist with future benefits designs. Develop specific recommendations for management review.
  • Monitor administrative costs of benefits programs and recommend cost containment strategies, including alternative methods for administration and funding. Prepare budgetary recommendations and assist in monitoring, verifying, and reconciling budgeted funds.
  • Provide customer service support to internal and external customers. Develop communication tools to enhance understanding of the company's benefits package.
  • Collaborate with benefits brokers to design and distribute materials for benefits orientations, open enrollment, and summary plan descriptions.
  • Provide training and support to staff members regarding their benefits as needed.

Knowledge/Skills/Abilities Required

    • Minimum of ten (10) years combined of work experience in complex payroll and benefits specialty role, preferable within the state of Arizona or
    • Bachelor's degree in accounting, human resources, business, or related field.
    • Certifications from a recognized entity are preferred in payroll and/or benefits management.
    • Expert level experience in Microsoft Office Suite, particularly in Excel required.
    • Proficient in QuickBooks Online and Rippling preferred.
    • Strong analytics skills and a thorough understanding of benefit plan designs
    • Strong verbal and written communication skills; ability to train and explain payroll and benefits processes as necessary and effectively.
    • Proficient knowledge of benefits contract language
    • Knowledge of all pertinent federal and state regulations, filing and compliance requirements, both adopted and pending, affecting employee benefits programs, including the ACA, ERISA, COBRA, FMLA, ADA, Section 125, workers' compensation, Medicare, OBRA, and Social Security and DOL requirements.
    • Ability to understand and evaluate proposals (RFPs).
    • Ability to manage several complex projects and meet deadlines.
    • Thorough understanding of bookkeeping procedures and practices
    • Ability to learn and navigate new software, including HRIS.
    • Excellent organizational skills and attention to detail.
