Job Description:

Manage operations of our new Monterey Office, Supervisor staff and productivity of workload, Maintain interface with Clients, Quality Control, Deadline Management and Implemented Policies and Procedures for Coordinating staff, in charge of staff trainings, manage schedules and provide general support for all staff, clients, applicants and management.


Responsibilities:

  • Enforcing Office policies and procedures
  • Supervise office operations and productivity
  • Maintaining Office Equipment
  • Managing Office Supplies and Inventory
  • Coordinate with contractors & vendors for building maintenance (as required)
  • Coordinate with IT (Information Technology) on office infrastructure and support
  • Organizing and assist with onboarding new employees
  • Provide Staff Training (Coordinators & Plans Examiners) and Mentor staff
  • Facilitate all staff Meetings and Trainings
  • Client Liaison (For all Newport Beach clients)
  • New Client setups
  • Manage and Maintain Client Contracts and Profiles
  • Trouble-Shoot and Problem-Solve Plan Review issues
  • Quality Control for all Plan Review Project (QA: Client Plan Requirements)
  • Quality Control of Coordinators tasks
  • Mediate and correct customer complaints
  • Manage and Monitor Deadlines for all projects
  • Time Management for all projects (Hourly & Fixed)
  • Audit Project Fees & Invoices
  • Calculate and Process 3rd Party Plan Review Fee Quotes
  • Process 3rd Party Payments
  • Attend Meeting with Clients for software training
  • Re-development of the plan check department daily operations and database programs to streamline process
  • Developed Training Programs & EZ-Plan Tutorials
  • Developed and Implemented Technician Procedure Manuals
  • Interpret Plan Corrections to applicants
  • Organize meeting with Applicants, Engineers and Architects
  • Process Plan Checks, Corrections and Approvals (For major projects)
  • Provide backup for coordinating staff
  • Manage Plan Reviewers schedules
  • Provide general support for all Plan Reviewers & Engineer staff
  • Primary Support to Department Director
  • Other duties as assigned

Requirements:

Requirements and Qualifications:

  • 5+ years of experience in industry.
  • Ability to interpret and understand California Codes, Municipal Codes and etc.
  • Knowledge of Plan Review, Building departments functions and operations.
  • Ability to read and Interpret Plans, Corrections and Redlines.
  • Possession of or ability to obtain a valid California driver's license.

Compensation:

  • $30 to $40/hr; commensurate with experience and qualifications.
