Job Summary
We are seeking a detail-oriented, highly organized Accounting Assistant to join our team. This role will handle all the daily administrative requests for the Accounting department. The incombant will work closely with Finance in performing bookkeeping and data entry duties utilizing Sage 100 which is transitioning to Acumatica. The ideal candidate will possess excellent communication skills and be comfortable with remote working tools (including Teams), as the manager is fully remote.
Key Responsibilities
Accounts Receivable
- Process and manage transaction including invoicing, billing and collections utilizing Sage 100 and Acumatica
- Monitor and follow up on outstanding AR balances to ensure timely payment
- Reconcile Accounts
- Prepare and send monthly statements
- Handle customer inquiries regarding invoices, payments and balances
- Assist in the preparation of aging reports and analysis of accounts
- Coordinate with Sales to resolve billing discrepancies or disputes
- Prepare and process bank deposits and record cash receipts and transfer to bank
- Assist in month-end and year-end closing processes
- Support finance teams with audits and financial reporting as needed
Accounts Payable
- Process and manage AP utilizing Sage 100 and Acumatica
- Ensure timely and accurate payment of invoices through check, electronic transfer, or other payment methods
- Reconcile vendor statements and resolve any discrepancies or issues in a timely manner
- Maintain accurate and up-to-date records of all accounts payable transactions
- Prepare and process payment runs, ensuring all necessary approvals are obtained
- Monitor accounts to ensure payments are up to date and within payment terms
- Assist in the preparation of accounts payable aging reports and analysis
- Coordinate with vendors and internal departments to resolve invoice and payment-related queries
Accounting Support
- Work with team on conversion to Acumatica
- Attend Acumatica Trainings
- Assist With Data Conversions
- Provide administrative support to the Accounting Department as needed
Qualifications
Education: Bachelor’s degree in accounting or Associates degree and related experience preferred
Experience : Minimum of 1-2 years experience in an Accounting role
Sage experience required
Acumatica experience a plus
Prior experience in a Remote or Hybrid environment highly desired
Experience with accounts payable and receivable, reconciliations, and general ledger entries
Skills : Proficiency in Sage 100, Acumatica or similar accounting software
Strong understanding of account principles and practices inc. AP, AR, general ledger
Proficient in Microsoft Office Suite
Proficient in Teams and other remote working tools
Excellent verbal and written communication skills
Ability to work independently
Ability to maintain confidentiality and handle sensitive information with discretion
Work Environment
This position primarily operates in an office environment with occasional travel required for events and meetings. This position must have reliable transportation. This job requires both prolonged periods of sitting at a desk and working at a computer as well as the ability to lift up to 20 pounds.
