Position Summary

We are in search of a meticulous and organized Accounting Assistant to support our finance operations. This role is responsible for managing daily administrative tasks within the Accounting department. The selected candidate will collaborate closely with the Finance team to perform bookkeeping and data entry tasks, utilizing both Sage 100 and Acumatica software.

Key ResponsibilitiesAccounts Receivable
  • Manage and process transactions including invoicing, billing, and collections using Sage 100 and Acumatica.
  • Track and follow up on outstanding accounts receivable balances to ensure prompt payment.
  • Reconcile accounts accurately.
  • Prepare and distribute monthly statements.
  • Address customer inquiries related to invoices, payments, and account balances.
  • Assist in generating aging reports and analyzing accounts.
  • Coordinate with Sales to resolve any billing discrepancies or disputes.
  • Prepare and process bank deposits and record cash receipts.
  • Support month-end and year-end closing activities.
  • Assist finance teams during audits and in financial reporting as required.
Accounts Payable
  • Oversee and manage accounts payable functions using Sage 100 and Acumatica.
  • Ensure timely and accurate processing of invoices through various payment methods.
  • Reconcile vendor statements and resolve discrepancies promptly.
  • Maintain precise records of all accounts payable transactions.
  • Prepare and execute payment runs, ensuring all necessary approvals are secured.
  • Monitor accounts to ensure payments are current and adhere to payment terms.
  • Assist in the preparation of accounts payable aging reports and analyses.
  • Work with vendors and internal departments to resolve invoice and payment-related queries.
Accounting Support
  • Collaborate with the team on the transition to Acumatica:
    • Participate in Acumatica training sessions.
    • Assist with data conversion processes.
  • Provide administrative assistance to the Accounting Department as needed.
Qualifications

Education: Bachelor's degree in accounting or an Associate's degree with relevant experience preferred.

Experience: Minimum of 1-2 years in an accounting role.

Skills: Proficiency in Sage 100; Acumatica experience is a plus. Strong understanding of accounting principles, including accounts payable, accounts receivable, reconciliations, and general ledger entries. Proficient in Microsoft Office Suite and remote working tools such as Teams. Excellent verbal and written communication skills, with the ability to work independently and maintain confidentiality.

Work Environment

This position primarily operates in an office setting with occasional travel for events and meetings. Reliable transportation is necessary. The role requires prolonged periods of sitting at a desk and working on a computer, as well as the ability to lift up to 20 pounds.
