Title: Administrative/Program Assistant



FLSA: Non-Exempt

Reported To: Director of Social Services

Division: Services

Location: Glendale (Queens)


Summary: The Administrative/Program Assistant is responsible for effectively managing interactions with the diverse population of a 200+ bed men’s homeless shelter. The Administrative/Program Assistant is required to maintain professional communications with administrative staff, housing staff, facilities staff, residents, and community partners. Proof of COVID-19 vaccination is a mandatory requirement for this position.


Responsibilities:

- Greet all residents and visitors reporting to administration and direct them appropriately.

- Perform administrative tasks including typing reports, letters, memos, etc.

- Manage phones, faxes, and reservations for meeting rooms.

- Assist in office supplies procurement and maintaining office inventory.

- Maintain accurate records, prepare reports, and facilitate necessary paperwork flow throughout the facility.

- Generate work orders for facilities and oversee completion progress, updating the system accordingly.

- Assist in establishing and managing databases related to the programs and provide relevant technical assistance with resident placements, closeouts, and sanctions.

- Arrange and monitor donation deliveries, maintaining a donation "wish list."

- Coordinate transportation with the van driver.

- Monitor resident access to computers, phones, and the administration area; assist case management with filing; and perform other assigned duties.


Experience, Education, and Special Requirements:

Preferred: Associates degree

Required: High School Diploma/GED

Skills: Strong verbal, written, and computer skills

Additional: Ability to multitask while remaining focused; proficiency in Spanish is advantageous
