JOB DESCRIPTION: Part-Time

Summary/Objective

Northern Illinois Food Bank is committed to building community awareness and creating an efficient food distribution network to eliminate hunger. The Healthy Communities Programs address the needs of neighbors in the communities we serve through initiatives such as Screen and Intervene and S.E.E.D. The Specialist will facilitate the daily implementation and monitoring of Build Healthy Communities (BHC) Programs.

Essential Functions

  1. Manage and update both electronic and hardcopy records, files, databases, etc. that pertain to all
  2. Organize the data gathered from online reporting from program sites and create reports based on the data collected.
  3. Maintain and update reports for the Food Bank including reporting to Feeding America, compliance, and KPI’s as needed.
  4. Provide the Program Manager and internal stakeholders with regular updates on programmatic concerns.
  5. Create internal and external communications, including monthly reports, newsletters, and emails, to program partners, donors, and other key stakeholders through proficient use of Microsoft Outlook, Teams, and Zoom.
  6. Create necessary materials, including agendas, presentations, flyers, and more, for program partner meetings and training.
  7. Schedule meetings for all Healthy Communities Programs team initiatives.
  8. Attend meetings on behalf of the Healthy Communities Programs team to represent and provide notes, as needed.
  9. Monitor and maintain the Health Communities email.
  10. Collaborate with Wellness Food Connection on bi-monthly ordering.
  11. Review and adjust all mobile builds for BHC programs.
  12. Provide remote and on-site support to same-day food distribution.

Required Education, Skills, and Experience

  1. Bachelor’s degree in a related area or equivalent experience.
  2. Proficient in Microsoft Office programs including Excel, Outlook, Word, and PowerPoint.
  3. Excellent written and verbal communication skills.
  4. Strong attention to detail and data management.
  5. Capacity to learn internal technology quickly and efficiently.
  6. Organized and efficient with administrative tasks.
  7. Ability to problem solve and make timely decisions.
  8. Ability to work independently but also collaborate well with internal teams, and external programs. partners and other key stakeholders.
  9. Strong customer relation skills.

Preferred Education, Skills, and Experience

  1. Familiarity with food service or emergency food programming
  2. Experience working with or around healthcare
  3. Being bilingual in Spanish is helpful, but not required
  4. Familiarity with public benefits, safety net services, or vulnerable populations

Work Environment
This job operates approximately 70% in a professional office environment. The remainder of the time is in the field, on-site with our program partners helping maintain best practices. This role routinely uses standard office equipment such as computers, phones, printers/copiers, filing cabinets, and fax machines.

Physical Demands
While performing the duties of this job, the employee is regularly required to frequently communicate with community partners, internal and external customers, and team members over the phone, through email, and in person. They should be able to move inside and outside on uneven surfaces, climb and descend stairs, identify and count inventory, and fill out monitor forms. This would require the ability to lift 25 pounds, move files and supplies to and from agency sites, open filing cabinets, and bend or stand on a stool or ladder as necessary.

Position Type and Expected Hours of Work

This is a part-time position of approximately 30 to 35 hours a week. Hours could vary depending on workload. Days and hours of work are generally Monday through Friday, between 8:00 a.m. to 5 p.m. Occasional evening and weekend requirements.

Position Location

This position is based in our West Suburban Center (Geneva) location.

Travel

Some local travel is required. Must have dependable transportation, ability, and flexibility to drive long distances (various locations within our 13-county service area) as needed.
