Job Summary
PWE Group is a professional engineering consulting and construction management company. We are seeking a motivated Administrative Assistant to join our team for our construction projects located in Phoenix, AZ. In this role, you will provide support to the management and construction team, ensuring they have all the information and resources they need to perform their best and the efficient functioning of an organization or department. The primary focus of the administrative assistant is to manage administrative processes, maintain records, facilitate communication, and ensure the smooth operation of daily activities. The ideal candidate is highly organized and detailed-oriented with excellent written and verbal communication skills and a friendly demeanor. This position is required to travel to the construction site (20% weekly work hours).

Responsibilities and Duties
  • Office Management: Responsible for managing the day-to-day operations of the office, including coordinating schedules, organizing meetings, taking accurate minutes, managing appointments, and handling correspondence, develop, update, and maintain relevant office procedures;
  • Record-keeping and Documentation: Keep accurate records and maintain organized documentation which may involve filing documents, updating databases, creating reports, and managing information flow;
  • Communication and Correspondence: Handle phone calls, emails, and other inquiries, and be responsible for drafting and proofreading correspondence;
  • Support for Management and Construction Team: Provide support to management and construction team by assisting with administrative tasks, including materials purchase, order tracking, helping with travel arrangements, administrative reporting, and planning, scheduling, and coordinating events or meetings;
  • Office Supplies and Inventory Management: Monitor and replenish office supplies, equipment, and inventory; including ordering supplies, maintaining stock levels, and coordinating repairs or maintenance;
  • Data Entry and Information Management: Responsible for entering and managing data accurately. Handle data entry tasks, maintain databases, and generate reports or summaries as needed;
  • Confidentiality and Privacy: Handle sensitive information and maintain strict confidentiality and privacy standards. Adhere to data protection regulations and handle confidential documents with the utmost care;
  • Perform other duties or special tasks as assigned by the management.
Required Skills and Qualifications
  • High school diploma/equivalent required.
  • 1-3 years experience as an Administrative Assistant or in a similar position.
  • Proficiency in Microsoft Office Suite Google Suite and Zoom.
  • Highly organized and detail-oriented with excellent time management skills; must be adaptable, resourceful, and capable of prioritizing tasks to meet deadlines and handle unexpected situations.
  • Must be able to type 50-60 words per minute.
Preferred Skills and Qualifications
  • Relevant degree, diploma, or certification in fields such as office administration, business administration, or secretarial studies.
  • 3+ years experience as an Administrative Assistant or in a similar position.
