WHAT YOU’LL BE DOING:

Perform a variety of routine and non-routine administrative functions to support all department employees. Coordinate and manage office events, meetings, and serve as the administrative contact for the office location, liaising with other offices as needed. Additionally, handle various project-related tasks within the department and the company

Once selected to join our team, you will:

  • Provide primarily routine administrative support to Directors and Project Managers in the office
  • Create general correspondence, master documents, presentations, spreadsheets, reports, and other documentation as needed
  • Create project opportunities to include all pertinent basic information; once project is billable then determine and set up budget and billing structure from contract terms
  • Maintain several groups of important information, ensuring accuracy and completion, in the applicable systems, including client invoices, mailing lists, contract files, etc.
  • Serve as contact resource manager ensuring all client contact information is accurate and without duplication; determine and manage solution to ensure this amongst several systems housing the same data
  • Support marketing/business development activities, functions, and assignments and participate when necessary
  • Coordinate contact with city/county on projects, including plans, utilities, benchmarks, right-of-entry, etc.
  • Work with Marketing to ensure resumes and SOQ’s are up to date with all project and other relevant information
  • Manage, issue, track and reconcile all credit cards and related expenses, including mileage
  • Organize and manage travel arrangements, including tracking and processing expenses
  • Assist with preparation for new employees, including business cards, set up of desk area, etc.
  • Coordinate with Human Resources for all company/employee events and manage and execute for the location
  • Assist and coordinate with other corporate administrative staff
  • Ability to meet all working conditions, physical demands, and minimum requirements outlined in this job description with or without reasonable accommodation, as applicable under the ADA, and as needed
  • Other duties as assigned

KEY QUALIFICATIONS:

KNOWLEDGE:

  • Solid knowledge of MS Office (Word, Excel, Power Point, Outlook)
  • Proficiency with typing

SKILLS:

  • High attention to detail
  • Ability to prioritize and multi-task effectively
  • Excellent organizational and follow-up skills
  • Good communication skills, both verbal and written
  • Ability to work both with a team or independently as needed
  • Ability to make decisions in accordance with established policies and procedures and to interpret policies and procedures when necessary

EXPERIENCE:

  • One year of previous administrative experience, preferably in office or department requiring coordination of various processes, events, etc.
  • Prior experience in service industry, preferably in engineering or architectural firm
  • Prior experience with proposals and contracts
  • Prior experience with Deltek Vision

EDUCATION:

  • High school diploma/GED
