Location: This position will be on-site full-time in Newburyport, MA. The position holder will need to be within commuting distance (within 45 min).

Payroll Administrator Summary:

The Payroll Administrator is responsible for the administration of the multi-state payroll function for over 1,000 employees. This position ensures pay is processed on time, accurately, and in compliance with state and federal regulations. This position will also assist with HRIS reporting, maintaining information in the ADP HR system, and additional HR / payroll projects.

Payroll Administrator Duties and Responsibilities:

  • Completes weekly multi-state payroll processing in ADP Workforce Now to ensure timely and accurate payroll transactions including wages, deductions, garnishments, and taxes.
  • Oversees and improves the timekeeping and payroll processes and procedures.
  • Audits all employee changes made by HR department.
  • Prepares and maintains accurate records and reports of payroll transactions.
  • Processes bonus and stock transaction payrolls.
  • Assists with migrating acquisition sites from other payroll systems onto ADP by coordinating setup with ADP, preparing and auditing data, and training team members.
  • Addresses questions from employees, managers, and HR staff regarding payroll matters.
  • Stays informed and ensures compliance with federal, state, and local payroll, wage and hour laws and best practices.
  • Configures and maintains ADP time & attendance, payroll, and financial general ledger modules.
  • Trains employees, managers, and HR site contacts on recording and approving time.
  • Ensures accurate tax withholding and payments. Resolves any tax reporting issues with ADP and / or the applicable government agencies.
  • Acts as primary point of contact for regulatory and internal audits by providing records and documentation to auditors.
  • Audits and reconciles W-2s and quarterly tax reports.
  • Completes year-end reporting, including workers’ compensation audit census and 401(k) annual census.
  • Identifies and recommends updates to payroll software, systems, and procedures.
  • Completes W-4 and direct deposit data entry.
  • Implements wage garnishments in accordance with federal and state law.
  • Runs periodic and ad hoc ADP reports, as well as provides HRIS support, such as updating validation tables and auditing data.
  • Supports various HR team initiatives and projects as applicable.
  • Performs other duties and projects as assigned.

Payroll Administrator Qualification Requirements:

  • High school diploma / GED required. Bachelor’s degree in Business Administration, Finance, or Accounting preferred.
  • 3 – 5 years’ experience processing multi-state payroll for 700+ employees.
  • ADP Workforce Now payroll experience highly preferred.
  • Proficient with Microsoft Office Suite, particularly Microsoft Excel.
  • Certified Payroll Professional (CPP) a plus.
  • Strong knowledge of payroll functions including preparation, internal control, and payroll taxes.
  • Strong knowledge of federal and state regulations regarding payroll.
  • Excellent time management and attention to detail skills with a strong ability to prioritize tasks and meet deadlines.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal, customer service and technical support skills.
  • High standards of ethics and confidentiality.
  • Advanced proficiency in database management and security.
  • Highly self-motivated and directed. Ability to act independently and assume responsibility for multiple initiatives in a fast-faced environment yet remain flexible in response to changing needs and competing demands.
