Position Summary:

The Payroll Administrator is tasked with overseeing the multi-state payroll operations for a workforce exceeding 1,000 employees. This role guarantees that payroll is processed accurately and punctually, adhering to all applicable state and federal regulations. Additionally, the position involves assisting with HRIS reporting, maintaining data within the ADP HR system, and contributing to various HR and payroll projects.

Key Responsibilities:

  • Manage weekly multi-state payroll processing using ADP Workforce Now to ensure timely and precise payroll transactions, including wages, deductions, garnishments, and taxes.
  • Enhance and oversee timekeeping and payroll processes and protocols.
  • Conduct audits on employee modifications made by the HR department.
  • Prepare and maintain accurate payroll transaction records and reports.
  • Process payroll for bonuses and stock transactions.
  • Support the transition of acquisition sites from different payroll systems to ADP by coordinating setup, preparing and auditing data, and training team members.
  • Address inquiries from employees, managers, and HR personnel regarding payroll issues.
  • Stay updated on and ensure compliance with federal, state, and local payroll, wage, and hour laws.
  • Configure and maintain ADP time & attendance, payroll, and financial general ledger modules.
  • Provide training to employees, managers, and HR site contacts on time recording and approval processes.
  • Ensure accurate tax withholding and payments, resolving any tax reporting issues with ADP or relevant government agencies.
  • Act as the primary contact for regulatory and internal audits by supplying necessary records and documentation.
  • Audit and reconcile W-2s and quarterly tax reports.
  • Complete year-end reporting, including workers' compensation audit census and 401(k) annual census.
  • Identify and recommend enhancements to payroll software, systems, and procedures.
  • Perform data entry for W-4 and direct deposit information.
  • Implement wage garnishments in compliance with federal and state laws.
  • Generate periodic and ad hoc ADP reports and provide HRIS support, including updating validation tables and auditing data.
  • Assist with various HR team initiatives and projects as needed.
  • Execute additional duties and projects as assigned.

Qualifications:

  • High school diploma or GED required; Bachelor's degree in Business Administration, Finance, or Accounting preferred.
  • 3 to 5 years of experience in processing multi-state payroll for over 700 employees.
  • Experience with ADP Workforce Now is highly preferred.
  • Proficient in Microsoft Office Suite, especially Microsoft Excel.
  • Certification as a Payroll Professional (CPP) is a plus.
  • Strong understanding of payroll functions, including preparation, internal controls, and payroll taxes.
  • In-depth knowledge of federal and state payroll regulations.
  • Exceptional time management and attention to detail, with the ability to prioritize tasks effectively.
  • Excellent verbal and written communication skills.
  • Strong interpersonal, customer service, and technical support abilities.
  • High ethical standards and confidentiality.
  • Advanced skills in database management and security.
  • Self-motivated and able to work independently while managing multiple initiatives in a dynamic environment.
